Full Job Description
Role: Executive AssistantResponsibilitiesConserves executive’s time by reading, researching and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunicationsMaintains a repository of Investments across multiple domains in an efficient manner. This is crucial for filing ITR returns and generating Portfolio Holding reportsKeeps a track of the health records in order to stay updated and scheduling relevant medical tests as and when requiredCalendar Management – Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travelWelcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiriesPrepares reports by collecting and analysing informationKeen to learn about different domains in the industry like Finance, Design, Product management, Crypto et cetera. This is required to up-skill oneself and make the learning curve steepBe super active on WhatsApp, Emails and Slack in order to stay updated with the information – crucial for improving TATKeeps all the information like KYC Documents, recent purchases, login credentials, card details, contacts handy as these could be required anytimeDoes a weekly house audit, finds loopholes and makes sure they are fixedMaintains a calorie count of the executive’s mealsAccompanies the executive for hospital visits, business and press conferences to make sure everything is aligned and well- coordinatedTracks expenses and maintains invoices & ledgersMaintains customer confidence and protects operations by keeping information confidentialActs as a linking pin between the executive and internal and external stakeholders by transmitting communication professionallyCompletes projects by assigning work to clerical staff and follows up on resultsHelps and coordinates with other team leaders to manage events like corporate retreatsMakes sure that the executive’s productivity is increasing by providing concrete suggestions for quick decision makingMaintains office supplies inventory by checking stocks levels; reordering supplies in advance; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of suppliesContributes to team efforts / projects by accomplishing related results as neededRequirementsStrong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detailExpert-level written and verbal communication skillsEmotional maturityProven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and responseFamiliar with tools like Notion, MS office and G-suiteTakes up new tasks and challenges confidently – takes full ownershipSmart working style, never give up attitude and professional behaviourStrong work tenure: 1 to 3 years of experience supporting C-LevelRole: Executive Assistant 1Work scheduleSix days working with one weekly off (Sunday).
