Job Description
What will I be doing?
This role will involve supporting Asst. Facilities Manager – India with day-to-day administrative work
Office Management
Overseeing on-site office improvements
Oversee the stock of consumables for the office and place orders to revive stock where necessary
Review and update health and safety documentation and policies and ensure they are followed
Process and track expense reports for key stakeholders
Process invoices for all purchases made to the Finance team
Assisting central management with coordinating office suppliers
Managing supplier invoices in conjunction with head of office finance team
Managing Desk Booking System with follow-ups, generating reports etc.
Manage Biometric Access reports and tall with Desk booking Report
Co-ordinate with Staff for NS transportation and ensure smooth functioning of the service.
Vendor/Client Co-ordination
Coordinate with transport and security vendors for employee transportation
Coordinate with client admin teams for documentation and registration for generating PO
Coordinate with Insurance company representatives for Add/Deleting employees from the group policy
Coordinate with Vendor for monthly MIS and invoice verification
Timely review of Vendor contracts
Timely follow-up with YG accounts team for pending payments/payments to be released.
Manage Travel desk
Help employees to plan, choose and arrange for their business travel
Assist employees with documentation and visa process, Forex, Travel Insurance etc.
Assisting Asst. Facilities Manager – India with HR Administration
Manage all Indian employee’s personnel files
Set-up new joiners on all systems – liaising with the UK Headquarters
Recruitment administration
Arranging interviews for prospective new hires
Keep Admin processes up to date with Indian employment legislation
Provide support on Global HR initiatives
Qualifications
What do I need to bring with me?
Graduate of any Bachelor’s Degree
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Additional Information
