Job Summary:

The Administrative Manager is responsible for overseeing and coordinating administrative operations to support the smooth functioning of the organization. This role involves managing a team of administrative staff, implementing processes and procedures, and ensuring compliance with industry regulations.

1. Team Management:

  • Supervise and lead a team of administrative personnel, including administrative assistants, receptionists, and clerical staff.
  • Assign tasks, set performance goals, and provide training and development opportunities.

2. Office Operations:

  • Maintain and improve office procedures to enhance efficiency.
  • Manage office supplies, equipment, and maintenance, ensuring a well-functioning workplace.

3. Records Management:

  • Oversee the organization and maintenance of records, documents, and files.
  • Ensure compliance with data protection and retention policies.

4. Communication:

  • Act as a liaison between management and staff, facilitating effective communication within the organization.
  • Manage internal and external correspondence, emails, and phone calls.

5. Budget and Expense Management:

  • Develop and manage the administrative budget.
  • Monitor and control expenditures to ensure cost-effectiveness.

6. Vendor and Supplier Relations:

  • Establish and maintain relationships with suppliers, service providers, and contractors.
  • Negotiate contracts and agreements to optimize cost savings.

7. Regulatory Compliance:

  • Stay up-to-date with industry regulations and compliance requirements.
  • Ensure that administrative processes adhere to legal and industry standards.

8. Event Coordination:

  • Plan and coordinate company events, meetings, and conferences.
  • Arrange travel and accommodation for employees when necessary.

9. Problem-Solving:

  • Address administrative issues and resolve conflicts among staff members.
  • Implement solutions to improve overall office efficiency.

10. Human Resources Support:

  • Assist in the onboarding of new employees by preparing paperwork and facilitating orientation.
  • Coordinate employee events and activities to promote a positive work culture.

11. Financial Administration:

  • Assist with basic financial tasks, such as invoicing, expense tracking, and payroll support.
  • Collaborate with the finance department to ensure accurate record-keeping.

12. Technology and IT Support:

Provide basic IT support to employees, including troubleshooting common issues and coordinating with IT professionals for complex problems.

Qualifications:

  • Bachelor’s degree in business administration, management, or a related field (Master’s degree may be preferred).
  • Proven experience in administrative management, preferably in the automobile industry or a related field.
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software (Microsoft Office suite) and knowledge of office equipment.
  • Knowledge of industry regulations and compliance standards.
  • Budgeting and financial management skills.
  • Problem-solving and decision-making capabilities.

Job Types: Full-time, Permanent

Salary: ₹13,106.39 – ₹25,000.00 per month
