To ensure effective management of employee attendance, statutory compliance, administrative support, and welfare activities to promote harmonious industrial relations, smooth plant operations, and enhanced employee satisfaction.

Key Responsibilities

Time Office Management

• Supervise and manage employee attendance using biometric systems or time cards.
• Monitor absenteeism, late arrivals, and early departures; prepare and share deviation reports.
• Maintain accurate leave records in line with company policies.
• Coordinate with HR for payroll inputs, including attendance, leave, and overtime data.
• Prepare and manage shift rosters and rotations, ensuring alignment with operational needs.
• Liaise with contractors for attendance submissions, gate pass issuance, and muster roll accuracy.
• Coordinate with departments for office stationery and ensure timely availability of required items.

• General Administration
• Oversee facility operations including housekeeping, pantry, gardening, security, and office upkeep.
• Plan and manage transport routes and schedules for employees.
• Supervise canteen services—ensuring food quality, hygiene, and vendor performance.
• Coordinate upkeep of administrative blocks and guest house facilities.
• Process administrative bills, purchase requisitions (PRs), and vendor invoices in SAP/internal ERP.
• Maintain departmental documentation, filing systems, and communication records.
• Manage furniture allocation and office space planning.
• Handle inventory control and stock audits of administrative items.
• Administer employee uniform issuance and upkeep.
• Welfare Management
• Organize employee welfare initiatives—medical check-ups, cultural events, sports meets, and birthday celebrations.
• Ensure compliance with statutory welfare norms (e.g., safe drinking water, washrooms, crèche facilities) as per Factories Act.
• Address grievances related to basic amenities like canteen, transport, hygiene, etc.
• Liaise with NGOs or CSR partners for external welfare tie-ups and support programs.
• Serve as a communication bridge between employees and management to foster a positive and inclusive work culture.
• Skills & Competencies:
• Proficient in SAP, MS Excel, and Attendance Management Systems.
• Sound knowledge of labour laws and statutory compliance requirements.
• Strong interpersonal, problem-solving, and grievance-handling skills.
• Ability to coordinate with cross-functional teams, contractors, and service providers.
