JOB DESCRIPTIONDESIGNATION: Front Desk ExecutiveROLE: Centre Front Desk Executive, Guest RelationsFUNCTION: Assure clinicsLOCATION: Mumbai / Khar WestREPORTING TO: Clinic ManagerROLE PURPOSE: Coordinate and organize maximum client walk-ins and appointments from online and telephonic enquiries to facilitate the smooth running of the clinic at both entry and exit points. Help the clinic team members deliver quality customer care experience.COMPETENCIES REQUIRED: KNOWLEDGE: +2 Pass, Diploma Holder, GraduateCRITICAL SUCCESS FACTORS: Communication skills (verbal & written)Listening skillsClient OrientationConfidentialityInformation collection & managementPlanning & OrganizingRelationship ManagementMulti-taskingPersonal Grooming & AppearanceFUNCTIONAL SKILLS: Working knowledge of medical terminologies, procedure and diagnosis related to hair loss related procedures offeredWorking knowledge of computer and relevant software applicationsWorking knowledge of general administrative and clerical proceduresTECHNICAL SKILLS (IF ANY): NoneKEY ACCOUNTABILITIES & OWNERSHIPFINANCIAL PERSPECTIVERecord and update services taken by the client and the related billing information in the software.Ensure that cash given by the customers tallies with services taken at the close of business every day.Ensure petty cash is maintained at optimum levels.CLIENT PERSPECTIVEGreet clients cordially, offer refreshments and register them in the system as per the established protocolsAnswer incoming calls and deal with inquiries following appropriate telephone etiquetteImprove client satisfaction and treatment room utilization by scheduling appointments in person or by telephoneKeep appointments on schedule by notifying the Clinic Manager of client’s arrival and delay if it occurs.Respond to client’s queries sent via email / web/ SMS post consulting with the appropriate team member.Help clients in distress by responding to emergencies if occurredINTERNAL BUSINESS PERSPECTIVEEnsure the look and feel of the front desk area, client waiting lounge is well maintained, which includes but is not restricted to – arranging magazines, maintaining a moderate ac temperature, playing music, running a pleasant AV display and keeping the front desk and clients front desk lounge area a litter free zone.Obtain daily consultation, enquiry calls report and send the same to Centre Manager, Clients relations, Category headMaintain office supplies inventory (business cards, letter heads, envelopes, printing cartridge, stationary etc.) by checking stock; anticipate needed supplies; place and expedite orders for supplies and verify receipt of supplies.LEARNING AND GROWTH PERSPECTIVEBe well aware of all the procedures, offers, discounts, offered by the clinic to make the consultation process smoother for the client.REPORTING STRUCTUREDIRECT REPORTEES: NoneTEAM SIZE: NoneWORKING RELATIONSHIPS: INTERNAL: Centre Manager, Hair Transplant surgeon, Client Relation Executive, Tele callers, Housekeeping, Valet parkingEXTERNAL: Clients, VisitorsJob Type: Full-timeSalary: ₹18,000.00 – ₹25,000.00 per monthBenefits:Provident FundSchedule:Day shiftSupplemental Pay:Performance bonusAbility to commute/relocate:Khar west, Mumbai – 400052, Maharashtra: Reliably commute or planning to relocate before starting work (Preferred)Education:Bachelor’s (Preferred)Experience:total work: 1 year (Preferred)Language:English (Required)Speak with the employer+91 8657977572
