Job Purpose:
· The Air Charter Operations Specialist II is responsible for collaborating and coordinating with various stakeholders on operations functions for chartered fleets, and preparing of documents for claims submission
· The Air Charter Operations Specialist II will carry out activities such as air charter sourcing, job-file setup and pre-administration, documentation, and final job file administration and invoicing
· The Air Charter Operations Specialist II is accountable for full completion of chartering tasks, and must ensure that all prerequisites of chartering are met
· The Air Charter Operations Specialist II will also be working closely with commercial and legal teams to handle claims related to Charter Party agreements
· The Air Charter Operations Specialist II must be a commercially driven problem solver, along with being detail-oriented.
Key Accountabilities:
Preliminary and Tendering:-
Receive charter requests and carry out a tendering process
Select tender winners and award contracts
Operations:-
Determine required aircraft specifications
Engage brokers
Collaborate on and handle charter extensions and redelivery processes
Source air charters
Documentation:-
Develop and review RFPs
Receive clarifications and consolidate responses regarding RFPs
Obtain all pre-delivery information collaborate with internal stakeholders
Organize surveys for on-hire and off-hire
Ensure all prerequisites of chartering are met
Ensure job files are all up-to-date
Understand which documents are required, and request for updates or missing documents from consignees
Finance and Claims:-
Collaborate with global teams, as well as owners/brokers, on the loading of dangerous cargoes
Collaborate with accounting on claim submissions
Collaborate with accounting on supply quantities and withholding hire payments for redelivery provisions and owner expenses
Coordinate with accounting on all financial matters regarding chartered fleets
Communication:-
Communicate proactively with various stakeholders
Communicate clarifications with owners
Liaise with brokers, owners, legal, and sales, throughout the entire charter sourcing proccess
Negotiation:-
Negotiate contracted rates
Contracts:-
Contribute to the creation and design of, and keep records related to, charter party terms
Risk Management:-
Collaborate with internal and external stakeholders on risks, issues, and damages
Relationships:-
Maintain strong relationships with carriers and government entities such as GACA, port authorities etc.
Interact with specific agents and/or internal customs clearance team to compile required documents, follow up, track and resolve government requirements
Interact and coordinate with the verticals and operations teams to understand their cargo requirements and timelines for movement of goods & services
Qualifications and Experience:
Bachelor’s degree in business, supply chain, or equivalent
Minimum 4 years experience in chartering and commercial operations
