Job Duties & Key Responsibilities
Duties and Responsibilities – 1. Admin Team & Org: • Handle a team of Cluster Manager(s) and their down line of Admin managers/Assistant Manager Admin Assistants (Off roll) etc. for the respectively allocated Clusters/Branches • Monitor the performance of the team below • Monitor and ensure respective Team/Clusters Capacity mapping is planned and executed in consultation with National Manager Branch Admin • Monitor evaluate the performance pf the Cluster Managers and their team below • Ensure team motivation and training provided to them regularly and periodically enhancing their professional and relevant skillsets 2. Clusters/Branch Processes/Activities: • Branch SLA Tracking Monitoring and Adherence • Take initiatives for process improvements and innovative ideas/tools for better Admin deliveries • Monitor AMC and implementation at cluster/branch level • liaise with multiple Key stack holders and Verticals (like Asset and Purchase Centralized Services Infrastructure Event and Employees Services etc) at Head office to enable smooth functioning of Admin activities at a cluster/branch level 3. Repair and Maintenance hygiene and upkeep: • Ensure Implementation of the Repair and Maintenance (R&M) Model/Framework across all cluster/branches under the jurisdiction • Ensure a high standard of hygiene and upkeep in the allocated clusters/branches 4. Safety & Security of Clusters/Branches: • Adherence to Cluster/Branch Electrical Audit Calendar • Adherence to Cluster/Branch Fire Safety Audit Calendar • Monitoring of below Systems: • CCTV • Access Control • Intruder Alarm System • Any other aspects/installations related to the Safety and Security 5. ISO 9001 – 2015 Standards and guidelines: • Implementation of ISO 9001 – 2015 guidelines rules & regulations across all Clusters/Branches under the jurisdiction. • Participate and drive surveillance/audits in Clusters/Branches under the jurisdiction 6. Management Information System: • Ownership of respective Cluster/Branch MIS to be maintained up to date. • Maintenance Housekeeping Security Facilities Branch SLA – Daily/Weekly/Monthly & quarterly • Any misc info/data being asked by HO time to time
Required Qualifications and Experience
1. Graduate in any discipline with experience of 7 – 10 years working in Administration preferred. 2. Branches or multiple office handling ability and experience is preferred 3. Inclination to have knowledge/ exposure on legal/ compliance matters. 4. In case of internal candidate, work experience in Branch preferred 5. Exposure in handling govt. / legal Issues. 6. Team management & interpersonal Skills. 7. Good on negotiations and Vendor development & Management. 8. Working knowledge on MS Office – MS Word, Excel, Power Point 7. Other • Monitoring and Finalization of the new rented offices at the assigned locations in consultation with the business teams and certification of the completion of the furnishing work, at the all new offices along with the measurement activities. • Monitoring and Approval of various expenses happening at the locations mapped including those expenses happening from Imprest • Put in place reporting and monitoring mechanisms for control of Housekeeping, Security, Facility Management, Repair & Maintenance, Cleanliness, Scrap disposal etc. at the assigned locations. • Implementation of company policies, guidelines, rules & regulations related to office workings at the assigned locations. • Travel to the assigned locations having dedicated admin resources once in a qtr and to all other locations once every 6 months. • Ensuring the Companies set standards of administration are followed by the Admin representatives of the assigned locations. • Manage the Operational Expenses related to the locations mapped • Ensure all renewals of statutory compliances & AMC are done well in time before expire date. • Ensure Company assets & property is taken care at all locations in the assigned locations. • Keeping update on legal matters of the assigned locations. • Monitor and nominate a SPOC from the team below, to Act as a coordinator between location’s assigned & HO by ensuring pending issues/ matters are resolved with a suitable & tolerable TAT. • Seek regular feedback on Facilities, Repairs & maintenance of branches and act in consultation with HO. • Ensure maintenance of records / documents related to company assets & property of individual locations are maintained at locations. • Receiving & publishing daily updates on locations assigned
