Purpose of the position:
To assist the Plant HR manager in the continuous improvement of the plants Payroll function, providing support to the Management team. Become champion for payroll functions .The HR & Admin Executive also has responsibilities to the over plant and central HR function by following Ball’s group control frame work.
Key responsibilities include:
To follow and maintain organisation’s SOPs and safe working practices.Comply with all legal requirements related to environment and safetyComply with Ball’s Integrated Management Systems (ISO9001 / ISO14001 / OHSAS18001) & BRC/IoP standard, Smeta Standard.Monitor and responsible for Statutory compliance of various industrial laws including labour law related to payroll functionsFace audits and provide accurate data to audit team and compliances and closing of NCs.Daily updating computerized attendance & Leave Management records as required under the law.Keeping attendance records up to date of the employees who are joining or leaving the organization. Maintain employee personal data and file up to date.Preparing monthly salary statement, salary records, distributing salary slips, distributing salary through bank on time with zero error.Maintaining PF records, preparing monthly challans, form 12, form 5 10, preparing annual statements, keeping track on its timely submission and payment to the respective authority. Keeping PF and ESIC & Professional Tax records up to date and no failures in submission of returns, all statutory Records as per Payroll.Maintaining all records in the prescribed format in relation to various payments made to employees.Maintaining MLWF records, keeping track on its timely submission and payment to the respective authority.To provide MIS to seniors on timePrepare annual returns related to labor office, factory inspector officeLooking after all AMC’s related to HR & Admin. FunctionsVehicle management: Support for administering employee vehicle e.g. bus for company employees, car service provide,Support for Hotel and guest management. Give direction and strategy to peers and reporting staff,Security management : Legal compliance adherence, contract drafting, Strategizing and monitoring working of security men at plant
Administration Responsibility:-
Telephone Operating, Telephone Directory, Employee Master Data base, Intercoms Etc. Fax ManagementHotel & Travel, Vehicle booking , Food Arrangement for guest, visitors, Expats & employees as and when required.Daily and Update Interaction with Facility, housekeeping, Travel, Vehicle Vendor for Good keep of Office All Regular requirements.Courier management, courier record keeping for inward – outward & their tracking, with the support of SecurityGuest Management at office.Should be very particular about working hours and should set example for others for maintaining work schedule & time management.Responsible for Housekeeping and complete cleanliness Office Premises.Conference Hall & Meeting Room managementPrepare, maintain & analyse expenses report of Telephone, Hotels, Travelling, and Vehicle & submit monthly report to the line manager. Submit Monthly Provisions to Finance Dept.Support the plant Head for the travel and documentary works specifically.Record and forward bills to the account department after approval of HR HOD.Should be good at data entry & MIS ManagementShould take care of housekeeping of Admin Bldg.Support the HR Team on various MIS requirements.
Knowledge and experience required:
MBA – HR, MLM5 years of Experience in HR & AdministrationShould always be resourceful.Should be very good in communications both written and verbal.Should have documentation and analytical skillsGood computer skills – ability to manage via computerised data
