Position Summary & Scope:
As the Regional Head of Administration for BCCL, the role will involve overseeing and managing various administrative functions based out of Mumbai to ensure the smooth operation of the company. The role holder will be responsible for coordinating and supervising administrative staff, implementing policies and procedures, and providing support to different departments within the organization. The primary objective of the role will be to streamline administrative processes, promote efficiency, and maintain a productive work environment. This role is a Regional Level role & the scope includes all office premises & properties in Mumbai.

2. Areas of Responsibility (Key Result Areas) Administrative Operations:
• Develop and implement administrative policies, procedures, and systems to ensure effective & productive day-to-day operations.
• Oversee office facilities and equipment, ensuring they are well-maintained and meet the organization’s needs. Facility Management:
• Manage the day-to-day operations of facilities, ensuring a clean, safe, and well-maintained work environment.
• Optimize office space for efficiency, considering future growth and business requirements.
• Liaise with vendors for services such as security, housekeeping, maintenance, and ensure adherence to service level agreements. Infrastructure Management:
• Supervise housekeeping operations for both office, ensuring cleanliness and hygiene standards are maintained.
• Arrange for pest control services within the premises to uphold a clean and healthy work environment.
• Coordinate the placement and maintenance of potted plants to enhance the aesthetic appeal of the office.
• Plan and oversee seating arrangements to optimize space utilization and enhance the overall work environment.
• Conduct regular checks on the raw material and quality of food in the canteen to uphold food safety standards.
• Implement measures to reduce wastage of food and ensure cost-effectiveness in canteen operations.
• Monitor and manage water, electricity, and LPG consumption in the canteen, implementing strategies for efficiency. Compliance Management:
• Engage with diverse government departments and regulatory authorities, including BMC, Police, Fire, Electricity, Transport, etc., to secure required sanctions, exemptions, and subsidies.
• Oversee compliance with diverse obligations, and develop and implement efficient systems, policies, and procedures to ensure streamlined and effective administration.
• Ensure compliance with relevant laws, regulations, and industry standards and collaborate with legal counsel, as needed, to address any legal or compliance issues.

Shareholder Property & Guest House Management:
• Oversee the operations of all company guest houses in the assigned region, including confirming bookings. Additionally, supervise the booking processes and overall maintenance of the company properties to ensure the seamless functioning of both the properties and guest houses. Travel Co-ordination:
• Oversee travel arrangements for employees, including booking accommodation and transportation.
• Coordinate logistics for company events, conferences, and meetings. Security and Safety:
• Implement and monitor security protocols, ensuring the safety of employees, visitors, and assets.
• Develop and maintain emergency response plans, conducting mock drills on a periodic basis to adhere to compliance protocols. Managing Club Memberships:
• Coordinate the application process for club memberships in Mumbai, handling documentation and required formalities.
• Track membership renewals, ensuring continuous access to premium club facilities for senior leaders.
• Negotiate membership terms, ensuring optimal benefits and privileges for the leaders. Budgeting and Expense Management:
• Collaborate with finance and accounting teams to develop and manage the administrative budget.
• Monitor and control expenses related to administrative functions, identifying areas for cost optimization and efficiency improvement. Documentation and Record Keeping:
• Establish and maintain a system for document control, including records related to facilities, contracts, and compliance.
• Develop archiving processes for historical records in compliance with regulatory requirements.
