Position Overview: We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to our CEO/CXO. The ideal candidate will be proactive, resourceful, and able to handle a wide range of administrative and executive support tasks with professionalism and discretion. This role requires exceptional communication skills, attention to detail, and the ability to anticipate the needs of the CEO/CXO in a fast-paced environment.

Job Responsibilities

• The Executive Assistant provides support to the CEO/CXO, by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.
• We are looking for a multi-tasker with excellent communication skills and an upbeat attitude.
• Prepare and edit correspondence, presentations, reports, and other documents as needed.
• Act as the primary point of contact between the CEO/CXO and internal/external stakeholders, demonstrating professionalism and diplomacy in all interactions.
• Handle confidential information with discretion and maintain strict confidentiality at all times.
• Anticipate the needs of the CEO/CXO and proactively address issues or concerns before they arise.
• Serve as a liaison between the CEO/CXO and other members of the executive team, ensuring clear communication and coordination of efforts.
• To be successful as an Executive Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly.
• Executive Assistants must be comfortable with MSOffice, MSExcel and good at both verbal and written communication.
• Assists the CEO/CXO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
• Assists in coordinating the agenda of senior management team meetings.
• Using computers to generate reports, create presentations, and conduct research.
• Organizes and coordinates executive outreach and external relations efforts;
• Maintain polite and professional communication via phone, e-mail, and mail; generally being a helpful and positive presence in the workplace.
• Responsible for legal co-ordinations, as required.
• Performs other duties as assigned.

Education And Experience

• Bachelor’s degree/Master’s degree
• 10+ years of relevant experience or an equivalent combination of experience and education.

Required Knowledge, Skills, And Abilities

• Proven experience as an Executive Assistant or similar role, supporting C-level executives.
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
• Discretion and professionalism when handling sensitive information.
• Excellent problem-solving skills and the ability to think critically.
• Flexibility and adaptability to changing priorities and deadlines.
• Positive attitude and willingness to take on new challenges.
• Strong interpersonal skills and the ability to build relationships with stakeholders.
• Ability to work independently and with professional discretion.
• Multilingual may be preferred.
• Good command over MSOffice, MSExcel and Powerpoint presentations
• Desire to be proactive and create a positive experience for others.
