Job Purpose
A great opportunity to work for BMJ India as part of the BMJ Operations team. The Operations team at BMJ currently has a vacancy for an Operations Executive. The role comprises providing administrative, tracking and reporting assistance to the Editorial and Production teams based in India and the UK.
BMJ is the innovative publishing division of the British Medical Association and one of the world leaders in medical publishing with a strong brand recognised internationally. One of the key product areas, BMJ Journals, produces over 60 specialist clinical medical titles, many of which are leaders in their fields.
Maintaining accuracy by cross checking article level data against internal tracking and third-party repositories
To monitor and flag any overdue all articles across the post acceptance tracking system
Manually move articles through to the correct stages in the tracking system as required
Monitor and maintain the master email inboxes
To initiate bulk resupplies as and when required
Regular monitoring of online first and online issue pages to ensure all elements (including supplementary data, BMJ Learning links) are present and correct
To run reports from business objects and update data in Editorial and Production dashboards
To check, across all titles, that deadlines have been met for various print tasks, and that distributors are notified of delays at the printers
Coordinating and setting up internal and external meetings, recording and maintaining the minutes for internal and external meetings, and sharing the action items with relevant stakeholders
Maintaining a daily dashboard and tracker for production teams Weekly PAW audit for BMJ Open (to check for delays across the stages) flagging any delays to the typesetter and Production Editor
Supporting BMJ Open team on daily tasks, such as email allocation and tasks distribution
Checking the completeness of exported BMJ Open articles against the Sc1 FTP
Verify DOIs to check if they have been correctly deposited
Updating Editorial and Production documentation (e.g., journal manuals and workflows) to reflect process changes, as required
Allocating Freshdesk tickets to the Editorial Services team Responding to queries from editorial offices and internal teams
Review Editorial KPI dashboard data on a monthly basis and, where targets have not been met, investigate reasons why
Skill, Experience & Qualifications
Educated to degree level or equivalent
Minimum of 1–2 years’ job experience required, preferably in full-service academic publishing (editorial, digital strategy, end to end project management).
Digital content/product management experience preferred.
Experience of working with suppliers is desirable.
Excellent verbal and written communication skills are essential.
Ability to work in a fast-paced, metric-driven environment with proficient multitasking skills.
Ability to prioritise own workload to meet deadlines.
Strong organisational and time management skills are essential.
Knowledge of databases and XML would be an advantage.
Good planning and analytical skills.
Good interpersonal skills.
Experience of Google Suite products (Gmail, Docs, Sheets etc) would be an advantage.
