Job Title: Leader Estate & Facilities Management
Purpose of job:
To provide administrative support for a range of services ensuring the maintenance of facility, estates, vehicles, equipment and assets for a safe, efficient working environment for staff and customers. Provide adminstrative and logistic support to internal services.
The person responsible for this position will be responsible for providing support for facility management during a particular shift. The job holder will assist in development of the GSSC Noida premises and manage the routine shifts

Maximise the sustainability opportunities for both the British Council and Global Estate
Estate and Facilities Management main role is to ensure smooth functioning of office premises, leases, site infrastrucutre, operations, effective control on areas which are outsourced to the third party suppliers at the same time implementation of effective cost control measures.
Main opportunities/challenges for this role
Accountabilities, responsibilities and main duties:
Estate Infrastructure and Rental Management, including interaction with Building Owner/Agency
Coordinate with building management for all agreed services
Collate information for Business Continuity and emergency procedures and prepare draft.
Site Equipment / Systems AMC’s and contracts(HVAC/Fire/UPS etc
Maintain central storage system as per standard procedure.
NEW PROJECT spoc and planning with Project Teams representing Admin.
Global and In country Admin liasioning.
Actively engaging and coordination with Procurement and contracting team
Actively engaging and working in SSC Corp Fin and Local IT team
Site Level ISO compliance related
Facility HSE and Green Compliance Reporting (through team)
MIS and Reporting
Policy and Planning support,
Responsible for premises, lease, HVAC, Generator, UPS and other fixed infrastructure, vendors and contract for same and compliances, other GE portfolio, electronic security, Fire infra etc
Responsible for compliances on security, health, safety and environment
Monitor outsourced security services and ensure the personnel are trained and customer friendly.
Mandatory and periodic health and safety checks are carried out as per guidelines.
Provide health and safety training to new staff and co-ordinate drills.
Maintain records for environmental compliances and reporting
Delivery H&S trainings to BCMS staff
Participate and conduct fire Drills
Information Security
Ensure that their workforce are aware of the information security policies and comply with them
Ensures that the team complies to ISO 27001 and IGA related requirements
Send account opening requests effectively
Disable accounts immediately for leavers and Absconders /on long leaves
Document and monitor / review access levels of his/her team
Provide security awareness and education to team
Manage Records to ensure compliance to Freedom of information act
Ensure incidents of their respective functions are closed within SLAs.
responsible for compliance and documentation for policies, processes for Internal British Council compliance and for effective management and monitoring the efficiency areas in compliances to BS Standards like ISO – 27001, 22301,18001,14001, 45001 etc, Six Sigma, Asset Inventory, fire/H&S safety etc
Qualifications
Graduate/ Post Graduate
Role specific knowledge and experience
Minimum 4-5 years of experience including team management skills
Reading, writing, speaking and listening skills, Knowledge Sharing
Able to produce summaries of complex documents for a specific audience. Makes balanced and effective contribution in difficult situations e.g. conflicts between staff members. Develops, implements and evaluates an effective communication strategy and plan. Is aware of and understands how to use a wide range and the right combination of communication tools as appropriate
Computer skills
Using Word, Excel, Outlook, Databases, Internet Explorer.
Use voting buttons on emails sent and received. Manage distribution lists. Manage own appointments and set reminders using the Calendar function. Create, modify and format standard tables and borders. Understand the principle of styles and how to modify them. Create formulas using simple mathematical operators and functions. Produce reports from tables and queries. Create, edit Master slide templates.
