Role Purpose
To provide proactive and effective management of the Country Director’s office so that British Council business is transacted in a timely, appropriate way and, indirectly to the India leadership team as it affects the Country Director function. Provide administrative and operational support to Regional Director South Asia..
Main accountabilities but not limited to the following:
Director India 75%
Work independently and manage routine administrative work for the Director e.g. managing email, diaries, arranging meetings and venues, meeting visitors, managing Director’s visit programmes etc including managing travel, prioritising and coordination
Liaising with country/area teams to work on programme and all logistical arrangements for CD including speeches, visits etc ensuring guidance is shared with teams in advance and high quality briefing notes are prepared for all meetings, visits, speeches etc.
Manage directorate contacts, ensuring these are up to date at all times.
Act as single point of a contact for Country Director’s office for external stakeholders including following up all meetings and establish contacts with peers in key stakeholder and partner organisations
Work closely with the India Leadership Team on team meetings, leading on scheduling meetings, preparing and circulating agendas, keeping minutes, noting action points and following up on actions until completion.
The post holder will need to be flexible in terms of occasional in country travel and work
Lead on official visits and, for example, Directorate wide large-scale events and VIP visits with Facilities teams, co-ordinating guest lists, programming, logistics to ensure high quality.
Mobilise relevant teams for inputs to speeches, visits etc ensuring high quality briefing notes are prepared for all meetings, visits. Produce accurate and timely minutes of meetings as required
Coordinate onboarding of India leadership colleagues – Liaise with relevant departments and HR to effectively oversee international mobility and national onboarding of India leadership colleagues including requests for asset procurement, IT support, overseeing scheduling of induction meetings
Regional Director South Asia 25%
Work independently and manage routine administrative work for the Regional Director eg managing diaries, arranging meetings and venues, meeting visitors, managing Regional Director’s travel and visit programmes etc including managing prioritisation and coordinating with country teams to produce high quality briefing notes, itinerary etc
Support Regional Leadership team meetings – Work closely with the IT and Microsoft teams to successfully train in new applications and mediums and facilitate online meetings, organise periodical regional all staff townhalls for regional leadership team
Act as single point of a contact for Regional Director’s office for external stakeholders including following up all meetings and establish contacts with peers in key stakeholder and partner organisations
Work closely with Regional Leadership Team on team meetings, ensuring meetings are scheduled, agendas prepared, action points noted and followed up on until completion
Role specific knowledge and experience:
Teamworking
Ability to comfortably use British Council systems like MyHR etc.
General IT skills
Skilled in using MS office experience and experience in calendar management
One year of relevant experience in an administration or coordination role

Note:
Provident Fund Transfer in and out from EPFO is not possible as BHC PF is managed by a private PF trust governed by Indian Income Tax Act, 1961. The staff still has the option to transfer out and in from a privately held PF trust which are not governed by EPFO.
