Job Title: Transition Manager- Transition COE
Purpose of job:
The transition manager is expected to effectively transition or migrate the process/function to British Council Shared Services and provide support to the service delivery teams for such initiatives.
He/she will be accountable for all process migrations to SSC and responsible for delivering the Shared Services Strategy in terms of pipeline and growth.
He will be responsible to plan, project-manage and drive the implementation of multiple medium to large scale process transition or migrations or any internal projects and to negotiate and own SLAs and KPIs till completion of the transition or migration of the process. He will have to ensure adherence to the transition framework for project planning, execution and delivery.
Experience areas:
Expert level experience with strong experience in Transition/ project management BPO/Shared services experience
People with end to end program and project management experience in BPO industry would be preferred
Knowledge of:
Strong project management skills
Strong documentation skills
Strong presentation skills- should be able to create and present effectively
Excellent MS Office knowledge (Word, Excel, PowerPoint etc.)
Knowledge of Project Management tools- MS Project, MS Visio etc
Working experience on BPO processes
Having worked on transitions in Finance, HR, Technical Helpdesk, CS etc
Accountabilities, responsibilities and main duties:
(including people management and finance)
Strong project management skills and ability to independently lead transition projects with a focus on on-time completion with minimal post go-live issues and to ensure Project Management discipline
Should be able to execute the transition keeping the Cost/Budget, Time and resources in line with the signed off transition plan
Stakeholder management: meet and exceed stakeholder expectations. Keep an eye on stakeholder requirements and expectation. Deliver a solution meeting the agreed requirements. Periodic meetings with cross functional teams to review project status and performance and monitor closely to close out open issues
Support development of transition COE strategy for SSC
Deliver agreed transition and programmes using the Transition Framework (managing risk, governance, quality assurance, issue resolution, reporting), where the successful implementation of service resource skills and processes are just as critical to project success as technology, compliance and mitigation of financial and delivery risk.
Set up transition plan and assignment of resources.
Implement best practices for transition planning and Transition Management
Co-ordinate the management of milestones, actions, issues, risks and decisions of the transition activities
Ensure that all areas of Operations are ready for transition of new services/solutions
Oversee the stabilisation period quality measures and ensure projects are not closed until these have been met
Manage communications with all stakeholders to ensure an effective handover of new/changed Services into production/operations environment and the internal and external stakeholder user communities
To ensure trainings happen wherever applicable.
Ensure strict commercial/ scope change control to manage any deviations
Adhere to relevant escalation processes to escalate resource issues, delayed project phases, missed deadlines and other planning issues
Manage the agreed Transition budgets, ensuring all costs are recorded against products and services delivered
Ensure products and services delivered within the Transition are within agreed time.
Manage interdependencies and escalate in case of delays in time line or budgets.
Review the outcomes of each Transition and apply lessons learned to ongoing and future projects within the Programme.
Key relationships:
Closely working with the process owners, Financial Risk and Compliance team, regional/ country operations, project and programme teams, cross functional teams
Other important features or requirements of the job (e.g. travel, unsocial/evening hours, restrictions on employment etc)
May require travelling occasionally, working extended hours during cutover activities and may need to work to UK time zone for short times prior to major transitions.
