Position: Administrative Executive
Qualification: Graduate in any stream
Experience required: 3-5 Years in an Administrative Role
Other details: On Contract basis of 1 year with Caliber, renewable based on performance
Position Summary:
Looking for a multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace.
The candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, should have a genuine desire to meet the needs of others.
Preferred skills:
· Proven Experience as an Administrative Assistant or Office Admin. Assistant
· Working knowledge of Office Equipment, like printers & Fax Machine
· Proficiency in MS Office & working knowledge in PEOPLESOFT
· Excellent time Management skills & the ability to prioritize work
· Attention to detail & problem-solving skills
· Excellent written & verbal communication skills
· Team player & Teamwork
· Always maintains professional appearance and demeanor
· Experience of managing travel desk – air tickets and cab bookings
Job Description (continued) Essential Functions include but not limited to the following:
· Process of PR & Invoice in PeopleSoft & timely submission to Finance
· Processing & directing mail & incoming packages or delivery
· Monitor office supplies and place orders when necessary
· Responsible for office key control and other security measures
· Meeting room allocation and other coordination related to conference rooms
· Business Cards & id badge issuance of employees
· Seat allocation & Stationary issuance, Cabinet key allocation
· Courier record maintenance and coordinating with the vendor for timely pick ups
· Maintain and circulate the extension list of all employees
· Gate pass issuance and record maintenance
· Attendance Register update and maintenance
· Visitor lunches and daily lunch coordination with vendors
· Attends meetings and training as required
· Assist with travel arrangement under the guidance of Travel desk executive.
· Provide general support to visiting leaders
· Liaise with executive and senior administrative assistants to handle requests and queries from Senior Managers.
