Required Qualifications should include:
Bachelor’s degree with a minimum of 7-8 years’ experience supporting Senior Management
Demonstrated executive, operations, office administrative experience in a fast-paced corporate environment
Complex calendaring experience
Hands on experience in office management systems, ERPs and Microsoft Office, including Word, Excel and PowerPoint presentation
Experience in supporting a Senior Leader’s office in a global organization
Strong interpersonal, verbal (phone and in-person) and written communication skills
Ability to handle confidential information and demonstrating the highest levels of integrity, discretion and judgement always
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly while maintaining commitment to deadlines
Attention to detail with strong problem-solving and troubleshooting skills
Ability to respond to situations and requests with appropriate urgency while maintaining a calm demeanour
Job Responsibilities include (but are not limited to):
Calendar Management – Completes a broad variety of administrative tasks for the leader including managing an extremely active and complex calendar of appointments
Stakeholder Management – Liaise with global stakeholders across multiple time zones for meetings/projects /events
Executive Support – Scheduling and implementing Leadership Rhythm of the Business (ROB) including staff meetings, team events and off-sites by coordinating meeting agenda, minutes, material preparation and logistics
Travel Planning – Providing end-to-end domestic and international travel planning, including proactive scheduling of external partner meetings in line with scheduled business travel to maximise schedule efficiency
Liaising with the Chief of Staff to leader to provide seamless operations support of function-wide initiatives/engagements
Completing expense reports and working with all support functions across LCCI as and when needed
Planning and ensuring the leader’s schedule is followed and respected
Providing “gatekeeper” and “gateway” support, creating win-win situations for direct access to the leader’s time and office
Working closely and effectively with the leader to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
Ability to collaborate and effectively communicate across a wide range of people and job functions
Prioritizing conflicting needs by handling matters expeditiously, proactively and following-through on projects to successful completion, often with deadline pressures
Excellent attention to detail with an ability to manage multiple time sensitive priorities
Helping drive completion of key deliverables and following up on outstanding action items
Space management in hybrid working model
Project management as needed
Any ad hoc administrative tasks as and when required
Additional responsibilities
Partner with Ethics & Compliance to support manage all initiatives and programs as and when needed
Partner with communications team and provide support needed for all site-wide activities and events
Work with various functional leaders for new hire onboarding
