Job Position and Business line: Contract Administrator
Type of Contract: Full Time

The Role: The Contract Administrator shall be part of Project Team and shall collaborate with the Contract Manager for managing the contracts.
Key Responsibilities
Prepares Purchase Requisitions for all kind of Contracts directly related to the Project or Framework Agreements
Issue Purchase Orders as per project requirement in SAP system and updates the SAP system to allow monitoring of the progress of activities and costs of the supplies
Creates GRN and SES in SAP and uploads the Activation orders through the SAP system
Monitors the invoicing process eventually interfacing with Administration, Finance and Control in case of discrepancies between accounted invoices (both services and materials) and actual activities to be accounted, verify the actual costs of contracts in cooperation with Project Planning & Cost Control, Interface with AFC in order to collect and store, if necessary, receipt of bank payments
Maintains and updates the Contract Management Document system (Change Order Request LOG, Project Correspondence LOG, Authorizations, Planning tools for Procurement etc.)
Keeps the Contract Management documents updated on the Project DMS (Database Management System) in a timely manner as per the procedures
Issue payments reports for internal use and to control contracts status
Collects information and updates the monthly reports as per the Company formats
When requested, act as buyer to perform delegated purchase for micro contracts. Activities include sending RFQ’s, collecting offers, techno-commercial evaluation, contract finalization for Micro contracts.
Tracks and updates the Bank Guarantees Register and Insurance Register. In cooperation with AFC (Risk Management, Treasury) and Legal Departments, monitor the contractual insurance documents, warranties expiration, and Parent Company Guaranty date, and inform the Contract Manager to request renewals from the Contractors
Selection Criteria
Qualified with Diploma in Engineering course (preferably Electrical, Mechanical & Civil) and should have experience of 4-6 years working in project management environment/ purchase & material management environment of infrastructure projects, Oil & Gas Projects, Power Projects etc. requiring the professional knowledge and skills as explained above.
Proficient computer/ Internet skills, knowledge of various Windows applications (Excel, Word, PowerPoint), experience in using SAP MM/ PS modules, experience in using any database management system.
