Full Job Description
We are seeking a highly competent and versatile individual to join our team as a Receptionist with Back Office responsibilities. This role requires proficiency in MS Office applications, excellent communication skills, and the ability to handle various administrative tasks.
Required Gender : Female
Responsibilities:
1. Reception Duties:
a. Greet and attend visitors (if any) making sure concern person is informed and visitor is not left unattended
b. Answer and taking phone calls, taking messages when necessary
c. Handle incoming & outgoing mail, packages and deliveries – Maintain record of the same
d. Maintain a tidy and presentable reception area
2. Administrative Support:
a. Assist with various administrative tasks, such as filing, photocopying, and scanning documents.
b. Schedule appointments and manage calendars
c. Coordinate meetings and conference room bookings and making sure all is in place
d. During Client visit, make sure entire office is tidy and get it managed by the help
e. Make sure drinking water and tea/coffee machines are operational all time and is available
f. Assist with managing office equipment, such as printers, scanners, and copiers.
g. Handle basic bookkeeping tasks, such as processing invoices and expense reports.
h. Assist with data entry and database management.
i. Provide logistic support to the CEO for business trips, ensuring that all travel arrangements are in place.
3. MS Office Proficiency:
a. Utilize MS Office applications (Word, Excel, PowerPoint, and Outlook) effectively to create, edit, and format documents, spreadsheets, presentations, and emails.
b. Maintain and update databases and spreadsheets accurately.
c. Generate reports and analyse data using MS Excel.
Other Requirements:
a. Communication effectively and professionally via phone, email, and in-person interactions.
b. Liaise with various departments to ensure smooth communication and coordination.
c. Minimum Graduation with any specialization, additional certifications in office administration or related fields are a plus.
d. Proven experience as a receptionist or in a similar administrative role. (Min. 1 year)
e. Attention to detail and multitasking abilities.
f. Professional appearance and ethical conduct at all times
g. Be familiar with Japanese culture and customs OR have ability to learn the same
