Role Summary and purpose
To assist the site manager in supervising the admin and facilities activities as per the guidelines, standards and timelines set by the organization
Job Duties and Responsibilities
Primary (what they do 90% of the time):
Support the Administration Manager with responsibility for the overall management of administrative activities and meet the targets ensuring the smooth running of the administrative function of both the Client and Gloplax facility
Monitoring of processes, systems, use of approved technology which increases the efficiency and brings out the best for all relevant stakeholders
Manage the performance and relationship processes with vendors including monitoring and ensuring compliance to contracts and vendor non-performance management.
Communicate operating philosophy, objectives, and expectations to facilities staff in a continuing effort to build the team.
Ensure facilities remain both internally and externally in safe and healthy operating condition and ensure the availability of associated services such as physical security, parking, access control, equipment maintenance, technical support, ventilation & lighting, vending, cafeteria and other services, adhering to all the protocols.
Lead and coordinate the employee transport program and ensure all program and policy specifications such as car selection, maintenance, repairs and driver safety are within compliance
Partnering collaboratively with service providers in the consolidation and implementation of business continuity, preventative maintenance, emergency plans and ensuring the functionality of critical facility systems and equipment.
Ensures that all facilities are operated and maintained in a cost-effective and safe condition in accordance with the approved budget and the organisation’s requirements to fulfill operations and maintenance of facility related contractual obligations.
The candidate should have experience of working in a 24/7 operating facility and be willing to work in multiple shifts
Ensures prompt processing of invoices enabling timely payment to vendors
Suggest/implement approved cost optimization initiatives
Oversee the operation and maintenance of the entire Electromechanical systems which could include Air-conditioning (HVAC), UPS, CCTV, Access control, Fire detection, Fire Hydrant systems, Ventilation System, and Building Management System etc.
Serve all stakeholders with an approach of responsiveness, co-operation and collaboration
Maintain accurate records as directed
Maintain proactive relationship with the customers and service providers
Ensure timely closure of all the tickets raised by center Ops/Audits/quality via different ticketing tools regarding Facilities/center
