Job Summary:
The Admin Associate will support the Manager – Procurement & Administration, with every aspect of administrative tasks in the Unit. S/he holds specific responsibility to ensure administration for HCC & if required for Branch Offices. S/he is also responsible to maintain all monitoring tools part of administration policy and generate need-based MIS desired time to time by Department Head. S/he will coordinate with office staff and ensure planner-based assignments to avoid duplications and improve efficiency in maintaining right item, right price, right place and right time.
Job Purpose: Responsible for providing administrative support to a team or individuals within the organization.
Provide support in office administration. Day-to-day office repair and maintenance. Provide logistic support like booking tickets/ transportation/ booking hotels for project staff’s travel. Tracking of admin related bills, due dates, collection, and verification of bills, making timely payments with coordination with finance team. Complete adherence and strict follow ups to implement the organizational policies and procedures, donor requirements and statutory requirements. Update registers like Asset, office stationery, courier, stationery etc. Responsible for preparation and maintenance of donation and right-to-use vehicles documentation and agreements. Responsible for insurance, permits, repair and services for organization vehicles. Responsible for allocation of driver duty for office vehicles. Empanelment of vendors of train/bus tickets, hotels, printing, and stationery etc. Responsible for coordinating and arranging official travel-related accommodation and commutation for staff. Maintenance of staff movement and inward and outward register. Maintain documents and admin related files. Coordinate with the finance team as and when required. Provide support in procurements i.e. collecting quotations, prepare comparative, arranging PC meetings, issuance of PO’s and contracts. Ensure procurements as per the organizational policies. Provide admin support for organization wide meetings and events. Travel to project locations/states and head office as per project requirement. Provide support during donors visit, internal/statutory and project audits. Responsible for office management- cleanliness, stationery, pantry supplies, etc.Ensure close supervision of housekeeping assistants.Managing courier service including inward and outward registersManaging the pantry and lunch arrangementsMaintaining and updating service contracts, board resolution copies, etc. Responsible for organizing team events in discussion with the HR and reporting managers. Responsible for maintaining office stationery and office-related repair and maintenance work. Responsible for performance analysis of team members (Office Boy, Drivers etc.). Assist in other administration duties.Any other task assigned by the supervisor.Contact/Key Relationships:Department Heads & Program TeamProcurement TeamVendorsWorking Conditions:Stationed at HCC Head Quarter (Gurgaon Office)Willing to travel to project offices as & when required.Willing to travel operational areas for undertaking assignments as & when required.Willing to undertake procurement of goods & services for emergency response as & when required.Qualification & Experience:Graduate / Postgraduate in any stream preferably commerce2-3 years of experience of admin, procurement, and vendor managementSkills & Competencies:Good communication skill written and verbal in English, Hindi and local language.
