Department overview:
The Contract Management department is a centralised specialist function made up of a small but dynamic team. The team provides support to the business on end to end contract procedures, training and best practices, facilitating problem resolution, globally. They systematically and efficiently support the creation, execution, and analysis of the contract for the purpose of creating a reliable contract database and thereby maximizing financial and operational performance and minimizing risk.
Position summary
The Sr. Contract Management Analyst position will provide support to the business for day-to-day support requests, project support, managing & assigning daily operational tasks, expert knowledge on end to end contract procedures, ensuring procedure documentation is maintained, monitoring weekly and monthly MIS dashboards, training and best practices and facilitating problem resolution, globally.
Duties & accountabilities
Support and query management: Handle daily cases and be a subject matter expert in resolving complex queries received from legal, sales, finance and operations teams, assisting colleagues at all levels, globally. On-the-job training will be provided, with increasingly more challenging and technical cases assigned to higher achievers.
MIS reporting: Prepare weekly and monthly reports and dashboards including working with stakeholders to recommend and develop appropriate KPIs for the team. Monitor reporting and KPI’s and in collaboration with senior management proactively and creatively drive service improvements. Articulately present reports to senior management so as ensure the work of the team is visible and monitored.
Process improvement: proactively identify areas for upgrade and improvement, recommending best practices and using good judgement and creativity. Work with senior management and stakeholders to devise, justify and deliver solutions to solve internal and or external business challenges and to optimise team operations.
Workload and exception monitoring: proactively monitor the Contract Management dashboard to ensure data governance, rejected and pending contracts and other elements are correctly processed and flowing through the system as expected. Carry out updates to Salesforce or follow up with individuals as required.
Project management: Assist with ad hoc projects (as a team member or subject matter expert lead) such as updating templates, data reconciliation projects, contract loading projects, documentation, and for higher achievers involvement in new policy, new process, new reporting implementations and acquisition onboarding projects
Business competencies
Education and experience
Candidates are likely to have 2+ years of relevant experience in the financial services sector or in a large global corporate firm
Candidates are likely to have experience as individual contributors in a team setting
Knowledge of Salesforce.com and DocuSign would be a strong advantage, particularly Cases and Contract objects
Proficient PC skills, especially in Microsoft Word and Excel
University graduate or equivalent preferred
Commercial awareness
Knowledge of contract management processes in particular, or invoicing or customer on boarding would be an advantage
Some knowledge of standard contract terms, licensing and fee structures would be an advantage
Management requirements
Candidates should be able to communicate clearly, including with senior stakeholders
Candidates should have the confidence in their subject matter expertise to enable them to manage-up and persuade others
Candidates must be organised, with very effective scheduling, prioritisation and time management skills
