Full Job Description
Under the general supervision of the Corporate Services Manager, responsible for day to day management of the Delhi office, including secretarial assistance and support to administrative, financial and procurement functions. Provide logistical support, including travel & accommodation and management of events. Prepare documents for submission to various Ministries, official memos, etc. and act as the focal point for visitors.
This position is open only for existing IRRI employees. It will be based at the IRRI New Delhi office and may only be filled in by the permanent citizens of India.
Roles and Responsibilities
Coordinate day-to-day operations of the Delhi office and support staff members on schedules, availability of resources, etc.
Maintain office assets (maintaining, monitoring & safe keeping)
Responsible for procurement of office supplies
Prepare travel documents such as visa applications
Manage Petty cash imprest for the Delhi office (request, disbursement & liquidation)
Handling events – workshops, trainings, etc. including travel & hotel/venue bookings
Responsible for all administrative support
Provide support on preparing financial vouchers & reports
Assist in procurement of goods & services to support the Procurement manager
Work with staff to provide administrative support
Manage and support visitors
Work with respective managers to prepare letters/correspondence for submission to external agencies such as Govt. Ministries & departments, donors, etc.
Support the Logistics & Coordination manager in organizing events, workshops, etc. and act as a back-up for travel & hotel bookings
Support Finance Manager with preparation of financial vouchers & reports
Support the Procurement manager with procurement of goods & services
Coordination of day to day operations of the Delhi office
Focal point for visitors
Letters/correspondence for submission to external agencies
Monitor incoming and outgoing correspondence/documents and ensure confidentiality
Maintain Petty cash imprest
Organize events, workshops, etc. and back up for travel & hotel bookings
Prepare vendor statements for payment like hotel, air travel etc.
Financial vouchers & reports
Qualifications
Bachelor’s Degree related to administration, management, finance, procurement or related field with a minimum of 3 years of experience in office administration/finance or related field.
Skills Required
Mandatory
Has proficient computer skills e.g. Word, Excel and PowerPoint
Has strong interpersonal and oral and written communication skills
Has good organizational skills
Has good multi-tasking skills
Preferred
Has experience working in an international environment
In addition to the Basic Pay indicated above, IRRI also offers the following allowances:
Dearness Allowance: 113% of basic salary
House Rent Allowance: 40% of base salary
Transport allowance for NRS L4: INR 4000/-
Educational Allowance: INR 1000/- per month per child up to two children, as applicable
Leave Traveling Allowance: Equivalent to one month of basic pay per calendar year
Provident Fund: 12% of basic pay and dearness allowance
