You will be a key player in managing the executive’s schedule, writing and sending communications, setting up meetings, arranging travel, and keeping track of vital records and paperwork for the business as an executive assistant. Your great multitasking skills, meticulous attention to detail, and effective communication abilities will be crucial in ensuring the executive’s office runs smoothly and they are as productive as possible.Responsibilities:1. Schedule Management:Maintain and manage the executive’s calendar, prioritizing meetings and appointments to make the most use of their time.Arrange meetings, conferences, and events with internal and external stakeholders, taking into account time zones, availability, and logistical needs.Be aware of potential scheduling problems, take proactive steps to resolve them, and tell all persons involved of any changes.2. Communication Management:Write, edit, and transmit official letters on the executive’s behalf, such as emails, memoranda, reports, and other types of correspondence.Ensure that all written messages are accurate, concise, and in accordance with business standards.Professionally and immediately respond to and screen incoming calls, take messages, and deliver important information to the executive or other parties who need it.3. Meeting Organization:Prepare for and plan meetings, including selecting locations, compiling the required papers and materials, and organising the audiovisual equipment.Participate in meetings, record minutes, and write thorough meeting summaries, making sure all action items are recorded and followed up on.Provide attendees with advance notice of meeting information, agendas, and other resources to make sure everyone is educated and ready.4. Email Management:Manage the executive’s email inbox by setting priorities, filtering messages, answering common questions, and highlighting significant issues that need to be handled right away.Track and follow up on emails to ensure prompt responses and proper work delegation as required.Uphold prudence when handling sensitive information and maintain confidentiality.5. Travel Coordination:Arrange for sophisticated travel arrangements, such as flights, lodging, ground transportation, and visas as necessary.Create thorough itineraries, travel packs, and all necessary travel paperwork to make the executive’s travels efficient and easy.Manage any adjustments or unforeseen events while travelling, offering the required assistance, and swiftly resolving problems.6. Record and Document Management:Keep up-to-date records and files for the business, including contracts, reports, meeting minutes, and other crucial papers.Arrange and preserve documents in a methodical way that makes them easy to find.Quickly locate and deliver the information and documents that have been requested.Requirements:Demonstrated experience working as an executive assistant or in a comparable position, preferably in a high-pressure corporate setting.Outstanding time management and organizational skills, including the capacity to manage various tasks and establish sensible priorities.Excellent verbal and written communication skills, as well as strong editing and proofreading capabilities.Expertise with collaborative platforms and productivity tools including the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Exceptional precision and attention to detail in all tasks.The capacity to maintain confidentiality and use caution when handling sensitive material.Excellent communication and interpersonal skills, including the capacity to deal with internal and external stakeholders at all levels in a professional and assured manner.Resourceful and proactive problem-solving abilities with the capacity to foresee requirements and offer solutions.Capability of adjusting to shifting priorities and short timeframes.High standards for accountability, honesty, and professionalism.Join our vibrant team and make a difference in the success of our business by serving as an executive assistant to one or more of our executives in a demanding but rewarding positionJob Type: Full-timeSalary: ₹15,000.00 – ₹35,000.00 per monthAbility to commute/relocate:Kolkata, West Bengal: Reliably commute or planning to relocate before starting work (Required)Education:Bachelor’s (Preferred)Experience:total work: 1 year (Preferred)Language:English (Preferred)Speak with the employer+91 9219988449
