Department – Administration
Reports to – VP Administration, Pune
Experience – 8-10 years Facilities & Admin experience with IT / Banking Company. (500 – 1000 people company)
Qualification – Minimum Graduate, Masters Degree Preferred
Job Scope / Position Summary
Facilities –
Regular Office Rounds & Verifying facility checklist – Housekeeping, R&M etc.
Access Control System Management – Addition / Deletion of the employees, Access card inventory, Coordination with HR and Access Control Vendor.
Repair & Maintenance – Placing order for Stationary, Electrical, HK Material & Maintaining MIS
Verification of all the documents / checklist on weekly basis such as Security Desk, HK Material, Stationary Check, Electrical and Plumbing Material etc.
Maintaining CCTV records, coordination with Vendor for servicing.
First Aid & BCP Stock Management
Invoice & Billing – Invoice Processing with Quantity & Service delivery confirmation
Housekeeping and Security Staff Deployment, Training and Grooming. Zero Overtime Site
Surprise visit to Office on Nonworking Hours / Days
Printing – I Cards, Business cards etc.
Experience in Travel desk – Flight, Car & Hotel booking. Coordination with vendor
Timely Maintenance of Office Equipment’s like – HVAC, CCTV, UPS, EPABX, PA System, FAS
Safety & Security – Fire Drills & Mock Drills, BCP – Admin Role & Responsibilities, Fire Wardens.
Procurement – to follow best practices in Procurement of Material & Services
Rent / Electricity / CAM & Pest Control Service & Bills
Audit – Handling Internal & External Audit with NO NC.
Agreements & Rate Contracts – Ensure timely renewals
