Full Job Description
The Training Administration Assistant has the responsibility for assisting in the preparation and formatting of the of all departmental training materials and job descriptions. They will provide support with preparation of documents that are required for upload into the Learning Management System (LMS) and the upkeep of the departmental Training SharePoint pages and any other assigned administrative tasks relating to Training Support and Genetic Toxicology, as required.
Essential Job Duties:
Training Study Support
Format check and PDF Training Module Documents, Training Assessments and Training Presentations ready for uploading to the departmental SharePoint Training site and the LMS.
Format check and upload new Job Description templates to the departmental SharePoint Training site.
Ensure all JD‘s and training materials are documented on the latest corporate templates
Take responsibility for ensuring that Training Modules and LMS course updates are scheduled to go live alongside any updates to Genetic Toxicology Controlled Documents CD)
Generation and checking of Training Module Competency Checklists for training records.
Generation and checking of CD reading lists for training records.
Update relevant tracking systems for Training Module periodic reviews, updates and new documents in line with SOP periodic reviews and update.
Prepare CV and JD documentation for GT (Genetic Toxicology) new hire Training Records
Assist with the administration of the global Organograms and personnel lists
Scheduling training requirements for new hires on behalf of the Training Manager
Assists Training Manager with global LMS requirements in terms of running compliance reports and uploading docs for training courses
Organizing meetings and keeping minutes for training related discussions
Providing support for the preparation readiness of global CD’s within Veeva Quality Docs
General Support
General training administrative tasks as assigned.
Principal Contacts and Scope of Communications
Daily contact with Training Manager, Key Trainers and Departmental Managers local and global to co-ordinate document preparation and other administrative issues for Genetic Toxicology.
Frequent contact with Managers, Laboratory Personnel, QA personnel, as required
Minimum Required:
Up to 12 months’ practical experience – if new graduate internship/placement experience or practical experience during degree course preferable
Excellent communication, presentation and interpersonal skills.
Excellent organization skills
Excellent attention to detail.
Experience with Microsoft Office (Word, Excel, and PowerPoint) and general ‘computer awareness’ are required.
Ability to prioritize workload and work to deadlines
