Role and Responsibilities1. Manage and protect the MDs time: Point of contact: Act as the primary point of contact among executives, employees, clients and other external partners.Screening: Screen, prioritise and route all phone and email correspondence, ensuring requests have a clearly defined purpose, and respond if required.Prioritising and scheduling: Understand the company and MDs priorities and maintain the MDs schedule, knowing when and how to diplomatically protect the MDs time, by scheduling and rescheduling meetings according to priorities. Schedule meetings across time-zones will be required.Follow ups: Proactively take over and manage all Follow-ups, Coordination and Documentation. Documenting minutes of key meetings and store for reference, and track action items. Assisting in event related coordination work when needed.Travel arrangements: Schedule domestic and international travel, when needed.Meetings: Prepare materials and agendas for team meetings.Monitor and manage MDs social media accounts2. Manage the MDs priorities: Ensure MD meets his weekly, monthly and quarterly goalsMonitor for and identify priorities in the company that require the MDs focus.Systems and Team management:Proactively identify gaps and understand and assist in building systems based on existing processesFind new and efficient ways to create systems processes to help maximize the MDs timeManage MDs personal priorities and tasks3. Systems and Team management: Proactively identify gaps and understand and assist in building systems based on existing processesFind new and efficient ways to create systems processes to help maximize the MDs timeEligibility5-7 years of experience as an executive assistant or secretary to the MD of a company.Stays within 30 min of Civil Lines, Delhi (by road or Delhi Metro)Excellent command over both verbal and written Business English communication.Proficient in technology. Most of our work will be digital, and on WhatsApp and Google services. Should have working knowledge of online tools such as Google Sheets, Google Calendar, Google Docs, Google Meet, Zoom, Google Slides etc.Required skills and attitudeProactive: and motivated by driving improvement and making a differenceTime Management: Excellent time management and the ability to multitask, in a fast paced work environment. Each day is different and each challenge is different.Ownership: Takes ownership of tasks given, especially in an environment of ambiguity.Follow up.
