Parametric is part of Morgan Stanley Investment Management, the asset management division of Morgan Stanley. This role is part of Parametric’s hybrid working model, which includes working in the office 3 days a week and choosing to work remotely or in the office the remaining days of the week.
General Description (role)
The role is responsible for primary administrative support for Parametric professionals (Managing/Executive Directors) as well as additional support for the Parametric Technology and Operations team.
The position provides the opportunity of working in a fast-paced demanding environment along with learning new skills and gaining up to date knowledge and experience associated with an investment company and a large global banking organization.
Position requires the ability to work both independently and as a team member, manage multiple tasks simultaneously, possess excellent time management skills, be detail-oriented, and demonstrate excellent written and oral communication skills.
Primary Responsibilities
o Calendar management, arranging meetings and coordinating with conference room and executive services as may be needed
o Prioritizing meetings and advising / alerting to conflicts and possibly desired changes
o Arranging conference calls
o Schedule management to include coordination with international business partners when needed
o Coordinate all aspects of travel for all business trips (domestic as well as international)
o Exercise judgment in ensuring compliance with company’s travel policies
o Prepare Expense Reports promptly after trips and submit travel-related invoices with appropriate documentation
o Actively and personally manage guests in reception when notified by the Receptionist of their arrival
o Make sure any food or equipment needs are handled appropriately
o Stationery ordering
o Work with all other assistants and reception in a proactive manner
o Accept responsibility for groups tasks as needed
o Provide back-up assistance to team members
o Compile and update various spreadsheets
o Research and book extensive meetings
o Act as an information resource
o Problem-solver to both internal and external contacts
o Handle confidential and sensitive information with tact and discretion
