In Asia Pacific, Optiver was one of the first global market makers to establish a presence in the region, with the incorporation Optiver’s APAC head office in Sydney in 1996. Since then, we have expanded our footprint by establishing offices in Taipei (2005), Hong Kong (2007), Shanghai (2012) and Singapore (2021). The business in Mumbai is newly created and deemed to be an integral part of the APAC strategy over the coming years, with anticipation of significant growth.
WHAT YOU’LL DO
We are looking for a dedicated and experienced full-time Executive Assistant to support our Managing Director and senior management team. The role will predominantly entail: –
Executive Assistant duties such as, but not limited to:
Complex diary management, coordinating meetings across international time zones.
Meeting coordination, agenda creation, minute taking, and any subsequent reporting
Collation and distribution of reports and meeting packs
Supporting MD and leadership team to improve efficiency. Both assisting and independently managing important projects in this vein, for example:
Business Continuity Planning
Communication Streamlining through email and report optimisation.
Act as first point of contact for both internal and external clients
Organising conference and room bookings along with minute taking, agenda creation and distribution
Manage and coordinate team events, conferences, dinners and offsites.
Research, analyse and summarise documents in a clear, articulate manner.
Manage and coordinate international travel and associated visa applications
WHO YOU ARE
To be a successful candidate you will need to have:
4+ years’ experience in a dedicated Executive Assistant role.
Excellent English written and bverbal communication skills.
Advanced Microsoft Office skills.
Excellent understanding of organisational processes.
Experience organising complex travel plans and itineraries.
Experience of minute taking in meetings.
Flexibility to manage deadlines and tasks with rapidly changing priorities.
High level of awareness when it comes to confidentiality, sound judgement and maturity.
Exceptional attention to detail.
