About the role
Provide a welcoming and professional environment for staff and visitors.
Manage a filing system, track incoming and outgoing correspondence and coordinate the flow of paperwork around the office.
Act as a Transport SPOC by
Preparing the mock roster and send to spocs for validation every Monday of the week.
Send the roster for next week to transport every Friday after doing all the changes (address update, shift update, phone number update)
Concerned person to coordinate directly with transport for any adhoc changes in the week.
Carry out administrative duties including maintaining files and databases, photocopying, printing and binding.
Coordinate with IT support team to request IT needs for teams as well as follow up till its provided to /procured for the team
Get the requirement by user through Sharepoint form
Work with vendors to get quotation for any new requirement
Management approval
Raise PO
Follow up with vendor for the delivery
Invoice collection
Submit the invoice to finance
Assisting the coordinators with typing agendas and minutes with email distribution.
Maintain Plazza page for minutes & point of discussion
Ensure timely Calendar invite & Meeting room bookings
Orders office supplies and repairs to equipment to keep the office well-equipped and stocked for the staff.
Coordinating for logisitics needs for townhall, all hands inside and outside office premises.
Works with vendors to ensure that orders are fulfilled as requested, invoices are paid and refunds or exchanges are processed.
Assist in documentation and accommodation needs of visitors coming to OLPS IC India. (includes working with hotel, transports, HR team )
Assisting team members in preparing their travel to within the country and outside country as per process defined
Schedules appointments and meetings for executives and upper level staff
Trasnforming manual processes to digital way and ensure removal of unnecessary human intervention
About you
Knowledge and abilities
Uses friendly communication to interact with a wide range of people.
High level computer literacy skills including demonstrated experience in MS office Suite of applications, electronic mail and internet.
Excellent oral and written communication skills
Excellent knowledge of English language
Ability to manage time and prioritize work
Knowledge of French is an additional value
Ability to multitask and meet changing deadlines
High degree of accuracy
Self directed and able to complete projects with limited supervision
Education, qualifications, and certifications
Bachelor’s degree in English language, Human Resource Administration, Business Administration, or related fields.
Experience
2- 3 years of experience in Administration .
