Responsibilities:
Office Management:
Oversee day-to-day office operations, ensuring a clean, organized, and efficient workspace.
Manage office supplies, equipment, and maintenance needs.
Coordinate with relevant departments to ensure a safe and comfortable working environment.
Communication and Correspondence:
Handle incoming and outgoing emails, letters, and phone calls.
Maintain records and files of important documents.
Draft and proofread internal and external communications.
Scheduling and Calendar Management:
Manage executive calendars, including scheduling meetings, appointments, and conferences.
Ensure executives are aware of their daily and weekly schedules.
Travel Arrangements:
Plan and arrange travel itineraries, including flights, accommodations, and transportation for executives and employees when necessary.
Data Entry and Reporting:
Input and maintain data in company databases or spreadsheets.
Generate reports, spreadsheets, and presentations as needed.
Administrative Support:
Provide administrative support to department heads and managers.
Assist in organizing meetings, conferences, and events.
Take meeting minutes and distribute them to relevant parties.
Document Management:
Maintain an organized filing system for company documents and records.
Ensure document retrieval and accessibility for authorized personnel.
Vendor and Supplier Coordination:
Manage relationships with vendors and suppliers.
Process purchase orders and invoices, ensuring accuracy and timely payments.
Human Resources Support:
Assist in the onboarding process for new employees, including paperwork and orientation.
Maintain employee records and assist with HR-related tasks.
Health and Safety Compliance:
Ensure compliance with health and safety regulations within the office and manufacturing facility.
Assist in the coordination of safety training programs.
Budget Tracking:
Assist in tracking departmental budgets and expenses.
Collaborate with finance teams to reconcile financial records.
Project Assistance:
Support various manufacturing projects by coordinating tasks, tracking progress, and assisting with documentation.
Confidentiality:
Handle sensitive and confidential information with the utmost discretion.
Problem-Solving:
Address administrative challenges and find efficient solutions.
Proactively identify areas for improvement in administrative processes.
Team Collaboration:
Collaborate with colleagues and departments to ensure seamless operations.
Assist in cross-functional projects and initiatives as needed.
Compliance and Policy Adherence:
Ensure compliance with company policies, procedures, and industry regulations.
