Your Career
Palo Alto Networks NGFW (Next Generation Firewall) group is looking for a Sr Administrative Assistant who can provide high-level, administrative support for our team. In addition, you will manage and coordinate team group events, and proactively think of new unique ideas to bring these events to life. You will build relationships with various stakeholders, and manage the process from A-Z. You will join an organisation that is rapidly growing and operates with great emphasis on agility and efficiency.
Your Impact
Ability to impact key decisions in projects, budgets and time management through effective communication skills
Expert knowledge of MS Office (Outlook, Word, PowerPoint, Excel,Google sheets etc)
Demonstrates commitment to be a trusted advisor to exercise good judgment, discretion and confidentiality in all tasks
Experience guiding business objectives and problem-solving in a timely manner
Ability to collaborate and focus on building relationships
An active learner, willing to take on new responsibilities and adopt new systems/tools
Well organized, and ability to prioritize tasks in a fast-paced environment to meet deadlines
Open-mindedness to different activities
Qualifications
Your Experience
Coordinate all meetings and special events such as department all hands, off-sites, culture events, fireside chats, branding events, social events, team building, etc. (virtual and in person upon office reopening)
Arranging giveaways. Working with vendors on designing, manufacturing, and delivering quarterly giveaways to employees.
Managing budgets, PR creation & reconciliation
Assisting with presentations, report data, complex meeting coordination and travel logistics Working closely with multiple stakeholders from various functions, group admins, team members, and managers to assist with special projects, and annual planning.
Coordinating and managing meeting logistics for regional and global QBR’s and vendor meetings including sourcing, establishing contracts, summarising meeting notes and providing logistic details to the teams as needed
Manage and reconcile expense reports, budgets, purchase and procurement requisitions and contracts
Document meeting minutes as well as manage action items
Drive initiatives to create and foster culture programs to increase morale across the organization
Act as point of contact between workplace services and the organization to meet all conference room needs and coordinate incremental move requests to drive team office moves (subject to office openings)
Partner with HR, Finance, Legal and other teams on reporting and reconciliation
Applies judgment with full understanding of urgency, confidentiality and priorities of the business, routinely needing to multi-task with little to no direction
Drive and develop processes at scale to improve efficiency across the organization
Create and develop content for team communications
Ability to reprioritize projects and initiatives quickly to adapt to the needs of the business
