3 to 5 Years in a similar role

· Technical know-how of automobiles
Responsibilities:
Manage Spare Parts Division as a Profit Center, while ensuring high performance service to the Service Dept, ensuring vehicles delivery are never hampered due to inefficiency.
1. Understand and record routine and special requirements of Spares and ensure their ready availability
2. Place procurement orders with OEM – on regular / periodical requirements as well as on special requirements. Ensure all orders are promptly processed by the OEM and Vendors and delivered within desired time frame. Follow up on all delayed shipment rigorously and ensure minimal negative impact on Service Dept’s operations and client commitments
3. Based on the historical consumption data, develop MRL [minimum reorder level] for each product and follow the MRL for procurement. Ensure MRL is not causing any delays in Service Department’s performance. Revisit MRL on a regular basis, and redefine the numbers as required.
4. Ensure no parts are disbursed/delivered without authorized / written approvals
5. Submit Reports to the Management on all unusual practices/developments on a regular basis, or on a special case basis, depending on the urgency of the situation
6. Ensure Spares inventory are always guarded from unauthorized access – irrespective of organizational position and/or personal rapport. Take necessary actions to ensure the spare store is well protected from any unauthorized access – during day or night.
7. Ensure all safety precautions are implemented (e.g., electrical fire hazards, etc.) including deployment of fire extinguishers, CC-TV, etc.
8. Ensure Spares Store is weather proof and no inventory damages due to weather exposure
9. Except for OEM spares/parts, identify vendors for general supplies and conclude ‘best value deals’ for future requirements, without compromising on quality and services
10. HR > Train, develop, and motivate Spare Parts Team in order to perform at optimum level
11. HR > Identify and help HR/Snr Management to hire qualified candidates. Ensure proper orientation of new recruits are conducted to enhance the confidence and impression of the new recruits
12. Maintain high hygiene level within the store, and keep it free from rodent and other creatures
13. Undertake inventory audit randomly on a regular basis – to ensure physical and system counts are in tally. Further, undertake periodical physical inventory as per the SOP and submit Spares Inventory Audit Report by highlighting all variances to the management as per the SOP.
14. Spare Manager will be solely responsible for all losses that might occurred while under his control
15. Undertake random checks to ensure no misappropriation in the products delivered by the OEM. Report any suspicious transactions to the Management
16. Ensure all spares shipments by OEM are verified for quantity, quality, and authenticity. Document and return all damaged / defective Spares back to OEM with proper documentation. All such incidents and documents to be submitted to Accounts Dept for their claim processing.
17. Ensure all claims against OEM and Vendors are reflected in the ‘Process Database’ as well as “Accounts/Finance Systems” – with reminder options, until the refund is realized
18. Submit all Management Reports as per the guidelines (below)
