The USI Assurance Executive Assistant will provide skilled and efficient support to the USI Assurance Leader as well as one or more members of the USI Assurance Leadership Team (U.S./USI). Assist with on-going activities such as project management support, managing calendars, scheduling calls and meetings, coordinating complex travel arrangements, preparing reports and other tasks as assigned. This position requires a high level of professionalism, initiative, confidentiality, and a sense of urgency. This position also requires the ability to anticipate needs and work independently.
Key responsibilities for the role
1. Provides executive-level support to assigned leaders including but not limited to:
Serve as the point person to maintain all calendar appointments and ensure meetings are scheduled in advance and prioritized accordingly.
Coordinate domestic and international travel arrangements including flights, cars, hotels and meals.
Assisting with USI Assurance meeting management administration including handling meeting invitations and logistics, tracking attendees, creating agendas, taking notes and following up with action items.
Maintain daily, weekly and monthly to-do lists with follow ups accordingly.
Independently apply a systematic approach toward achieving desired outcomes.
Routinely handle confidential correspondence.
Other duties as assigned.
2. Provides assistance with operational tasks and projects including but not limited to:
Work with operations leadership (U.S. and USI) to develop leadership meeting objectives, agendas, presentation documents and follow ups.
Assist USI Assurance operations leaders to liaise with internal functional areas including but not limited to human resources, training, resource management, talent acquisition and IT.
Assist with practice management reporting, process improvement, communication and risk management.
Help to ensure operational processes and objectives are aligned with overall USI Assurance strategy.
3. Provides assistance with USI Assurance project management including but not limited to:
Assists project managers and leaders in preparing and maintaining project plans including documentation, budgeting, implementation, training and communication.
Prepare and proofread meeting presentation materials such as PowerPoint slides, spreadsheets, project plans/scorecards, communications, etc.
Assist with scorecard management, progress tracking and escalation communication with key stakeholders.
Assist with meeting scheduling, preparing meeting materials, distributing meeting materials and attending meetings as needed.
Help execute administrative tasks in relation to project plans and schedules.
4. Provides additional support with operations, administration and special projects as needed.

EXPERIENCE
3-5 years relevant experience in related field or area
PREFERRED REQUIREMENTS
Experience with project management tools such as Smartsheet and MS Project
Ability to provide solutions and affect and support change management efforts
Ability to facilitate discussions with leadership
Ability to manage at a macro level and identify when a refined approach is necessary
