PURPOSE OF POSITION:
Providing a comprehensive, confidential and professional support service to the Director General in all aspects concerned with the efficient and successful operation of the office of the Director General.
JOB PROFILE:
Work closely with the DG to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the DG updated. Anticipate DG-s needs in advance of meetings, conferences, etc. On a needs basis, acts as rapporteur and prepares and distribute minutes/updates; monitors follow-up actions as required.Work as a bridge between DG and Committee of directors for meetings and update.Complete a broad variety of administrative tasks that facilitate DG-s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reportCoordinate the DG-s outreach activities. Undertakes and effectively organises the DG-s participation in all manner of events related to TER-s work and partnerships (working lunches and dinners; retreats; high-level meetings; receptions; conferences; etc.);Follow up on contacts made by the DG to cultivate ongoing relationship.Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the DG including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect DG-s style and organization policyProvide hospitality to all guests and help to create a welcoming environment.Invest in building long-lasting relationships both externally and internallyManage all aspects of organization-s office services. Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows.Other projects/duties as assigned for the overall benefit of the organization
