KEY ACCOUNTABILITIES
Scheduling monthly/weekly internal department meetings, and capturing key meeting notes, follow ups for all departments supported
Calendar Management across various time zones using high level of tact, integrity and confidentiality based on a thorough understanding of business priorities
Prioritize meetings and follow-ups on requested items as needed
Central point of contact for all the Market activities
Program Management
Project manage logistics for team meetings, townhalls, and team events
Travel Management – providing end-to-end domestic and internal travel assistance, including scheduling of external & internal meetings, VISA wherever required, accommodation and other travel logistics
Strong and effective communication for a smooth transition of work
Maintaining organizational charts and email distribution lists
Manage payments and subscriptions to various external associations
Large internal and external meeting coordination
Deliverable tracking
Capture and follow-up on key meetings and presentations
Follow-up and organize internal product mailing
Stakeholder Management – Liaise with global stakeholders across time zones for meetings/events
Helping drive completion of key deliverables and following up on outstanding action items
Partner with various internal and external teams to support and manage initiatives and programs
Any ad hoc administrative and business tasks as and when required
KEY EXPERIENCES AND QUALIFICATIONS
10+years of experience as an Executive Assistant
Tech savvy with excellent computes skills and experience (Macs/PCs, MS package, G Suite, Zoom etc)
Professional communication skills – listening, verbal and written
Good knowledge on PPT & Excel is required
Proven ability to manage projects, work under pressure and consistently meet or beat deadlines
A natural problem solver at heart with a genuine interest in learning by helping
High energy individual with a passion to contribute and take initiative
Must have a positive, professional, demeanor and a can-do attitude
Flexible and composed under pressure
Ability to work independently and execute projects with minimal direction
Exceptional interpersonal skills with meticulous attention to detail
