Job Description

Overview:

• The Quality/Document Manager (Q/DM) (OCN)is responsible for coordination, distribution and maintenance of the corporate and program process documents database, known as the Vectrus Execution Model (VExM) within the Vectrus Intranet/SharePoint. He/She will support Enterprise Quality by providing guidance and structure to Process Document Owners and their process documentation. The Q/DM will actively work to support document conversions or formatting edits to the latest Vectrus document templates and structure. They will do so by maintaining a standard of quality in accordance with customer, corporate, program, and department standards. He/She will also support any internal or external audits on VExM or within the Quality team accountability and oversight structure.
  The Q/DM must be on-site or available to be on-site during regular working hours. Flexibility on workdays and times will be necessary to support overseas meetings, when necessary.

Responsibilities:

• Manages the Vectrus Execution Model (VExM) in SharePoint to ensure latest documents are available.
• Operates computer and uses desktop publishing software (Microsoft Office, SharePoint and Adobe) to produce templates, drafts, final drafts, and finished products of Process Documentation, incorporating graphics and spreadsheet charts into documents as needed.
• Ensures that all new and reissued documents conform to the numbering and format specifications
• Tracks and coordinates all applicable information in the SharePoint Master Document List (MDL) to ensure proper and timely coordination on new and revised Process Documentation
• Metadata is maintained in SharePoint with relevant information for proper assignment and review
• Supports and provides guidance to Document Owners with any questions related to VExM
• Maintains a Document Change Log to track all change activities in VExM, including a Process Audit Trail of all actions regarding current and historical process documentation for proper archiving/retrieving of documents
• Runs reports in SharePoint on various VExM and other supportive Quality activities.
• Ensures proper follow-ups with Document Owners so Process Documentation is processed through to the “published” state and does not sit unnecessarily in pending upload or coordination
• Responds to and/or supports internal or external findings (ICARs/ECARs) on VExM
• Develops and maintains VExM process documentation as necessary
• Supports the organization in preparation for and executing surveillance and audit activities during internal or external audits of documents by providing current and historical information, as requested
• When necessary to support the General Counsel in response to lawsuits against the Company, will provide all relevant information. This may include reformatting Process Documentation to present an official appearance
• Performs configuration management activities for documentation on the Intranet, shared file systems and via electronic media for programs not connected to the Vectrus Intranet
• Ensures all programs have electronic access to, or electronic media representing the organization’s Quality Management System (QMS)
• Develops and coordinates training activities for new personnel as required.
• Perform ad hoc analysis on strict deadlines
• Ensures maximum security of all documentation
• Performs other duties as assigned

Qualifications:

• Education/Certifications:
  • A four-year degree in a related field preferred. One-year related experience may be substituted for one year of education, if degree is required.
  • At least two years advanced business-oriented education or equivalent.
• Experience
  • six to eight years’ of clerical, word processing and SharePoint publishing and management experience
  • 4+ years’ of relevant experience in Quality/ Process management.

• Skills:
  • Must be proficient in the English language.
  • Must be proficient in grammar usage and business correspondence techniques.
  • Demonstrate solid project management, communications, and leadership/teaming skills.
  • Ability to build and work within high performance teams in a matrix-management environment.
  • Excellent communication skills (both oral and written), and strong interpersonal skills, as this position interfaces with all functions within organization and a broad group of outside constituencies.
  • Sound business judgment and the highest level of integrity are required.
• Working Environment:
  • Must have ability to attend internal or external meetings via teleconference or in-person if necessary.
  • National and international travel required (~10%).
  • General office environment.
• Supervisory/Budget Responsibilities:
  • Manages document management clerks/analysts to ensure work product meets established standards.
