Job Description
This position will be responsible for a broad range of administrative support duties. The successful candidate must possess the ability to support multiple managers with varied needs. A proactive and can-do attitude are a must. We are looking for someone who takes great pride in being an Executive Assistant and who will serve as an ambassador for Visa Teams at Bangalore.
Responsibilities:
Perform administrative support duties, including but not limited to drafting correspondence, making copies, preparing binders, and maintaining and ordering office supplies
Manage scheduling of staff and individual meetings, teleconferences, team off-sites, and other events.
Creating surveys and collating results for All Hand meetings
Event planning including facilities coordination, catering, offsite venue research and booking, managing RSVPs
Expertly prepare documents in Word, Excel, and PowerPoint. Proficiency in Microsoft Office is a must.
Management of shared team information and resources on intranet/portals
Create content for department intranet, ERG websites, newsletters and blogs
Publish volunteer events and manage participation
Assist in onboarding new staff
Manage and facilitate ergonomic assessments
Coordinate resolution to facilities issues
Find and organize training, both group and individual
Expertly manage travel bookings (both international and domestic) and submission of expense reports through Concur
Manage multiple distribution lists, adding and removing as necessary
Set up and manage team schedules for command center and support coverage
Track and send reminders for training/events/compliance tasks
Attend and capture notes and actions in meetings
Update seating charts, space plan and headcount forecasts monthly or more often if needed
Manage p-card and budget for the team
Qualifications
5+ years of administrative experience required, A Bachelor’s Degree (or equivalent) is preferred
Demonstrates excellent leadership and professional presence with a confident and approachable personality
Possesses strong communication skills (written and verbal), with the ability to effectively communicate and collaborate with a diverse range of people and job functions
Demonstrated strength in multi-tasking and prioritizing work; detail-oriented and highly organized
Ability to organize and prioritize across competing priorities
Highly advanced MS Office skills and technologically savvy (Word, Outlook, Excel & PowerPoint) Additional experience with Concur and Ariba would be beneficial
Must be a self-starter and able to work with little or no supervision.
Ability to effectively and successfully respond to problem situations
Highly proficient in organizing worldwide travel
