Job Description
This position will provide executive support to the Merchant Sales & Solutions Leadership team. This is an individual contributor role, responsible for performing business admin functions and providing executive support to members of the MS&S leadership team.
JOB SCOPE
Primary function consists of providing general administrative support to the departmentAct as a liaison, problem solver, and facilitator for the departmentEstablish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside contactsPerform team support duties including ordering office supplies, booking meeting rooms, processing training registrations, and updating distribution listsHelp plan onsite and offsite team meetings and events, including coordinating conference room set-up, catering, A/V, and other logistical arrangementsProvide on-location support for team activities such as group meetings and team outingsCoordinate on-boarding of new employees and contractors, and associated trackingAssist with space management, workspace move requests and submit facilities work ordersKeep team common areas such as break rooms, scrum areas and meeting rooms tidyAssist with travel arrangements for team and visiting team membersAssist with developing and updating PowerPoint presentations, Excel spreadsheets, and other charts and documents in support of team activitiesProvide support for misc. projects and initiativesCreate purchase requisitions and assist staff with expense reporting and Finance issuesPartner and coordinate workload with other team members and provide backup support when neededThis role will require off-hours work and responsiveness, as well as occasional errands
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office two days a week, Tuesdays and Wednesdays with a general guidepost of being in the office 50% of the time based on business needs.
Qualifications
2-4 years of administrative experience, with some event planning and/or project coordination experienceCustomer service-focused, with a professional presence and a confident and approachable personalityCapable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential informationStrong communication skills (both written and verbal), and ability to operate effectively and efficiently in a challenging, fast-paced environmentProficient in managing executive calendars and organizing worldwide travelSkilled in Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint experience with Oracle iExpense and iProcurement helpfulAbility to multi-task, assist multiple team members at the same time, and prioritize work effectivelyDetail-oriented and able to complete work assignments with a high degree of qualityDemonstrated initiative, flexible, highly organized and can anticipate and resolve problems before they escalateHistory of creative problem solving, ability to work well collaboratively and under pressureExperience with event planning and project coordination highly desired
