We are pleased to launch the ExcelHer program – the career returnship program at Volvo Group in India. The program is for women & Men who have been on a career break for a year or more. This is our step towards empowering to relaunch their professional journey after their absence from the workplace due to personal commitments. Exciting work assignments have been identified which you can refer in the list below.

The assignments are for a tenure of 9 months. The participant of this program would have access to professional development programs, mentoring assistance by a business leader, apart from the experience of working with people from different functions/technologies/culture.

Location : Bangalore

• Key Responsibilities
• Executive Support & Strategic Coordination
• Shadow the VP in key meetings; capture detailed notes and ensure timely follow-up on action items.
• Manage the VP’s complex calendar, coordinate meetings, and optimize scheduling across multiple time zones and priorities.
• Handle confidential documents and information with discretion and professionalism.
• Track and report on technology project deadlines, deliverables, and milestones.
• Assist with budgeting activities and financial tracking for tech projects.
• Conduct research and compile content for presentations, proposals, and strategic planning.

Project Management

• Support planning and execution of cross-functional projects aligned with executive priorities.
• Track timelines, deliverables, and stakeholder updates to ensure project momentum.
• Coordinate communication, resources, and reporting to drive project success.
• Prepare summaries, presentations, and dashboards for leadership visibility.

Relationship & Communication Management

• Serve as a liaison between the VP and internal/external stakeholders.
• Draft, proofread, and edit executive-level correspondence, reports, and presentations.
• Prioritize and manage communication flow to ensure timely responses and action.

Meeting & Event Coordination

• Coordinate and help strategize internal and external meetings, workshops, and events.
• Prepare meeting agendas, take notes, and manage follow-up on assigned tasks.

Travel Management (Minimal)

• Coordinate occasional travel arrangements including flights, lodging, and ground transportation, ensuring compliance with company policies and budget guidelines.

Qualifications

• Proven experience (5+ years preferred) in a high-level Executive Assistant or Chief of Staff role, ideally within a fast-paced technology or automotive environment.
• Exceptional organizational and time management skills with strong attention to detail.
• High level of discretion in handling confidential and sensitive information.
• Strong written and verbal communication skills.
• Proficiency in productivity tools (e.g., Microsoft Office Suite, Google Workspace, project tracking software like Asana or Monday.com).
• Ability to work independently, adapt quickly, and prioritize multiple tasks under pressure.
