The Role :
The Executive Assistant position is a high-visibility role providing support to the Senior Vice President, Worley Enterprise Services (WES). This position requires strong judgment, professionalism and confidentiality in dealing with high-profile situations that require tact and diplomacy and interacting effectively with business counterparts, customers and partner companies. The individual will have demonstrated experience and appreciation in handling confidential and privileged information at the executive level.
Responsibilities:
Handles all executive assistant and administrative support to Senior Vice President, WES with a high level of independence, initiative, discretion, accuracy and attention to detail.
Provide efficient and effective admin support in alignment with business strategy and budget.
Act as liaison between Senior Vice President and other leaders on follow-up action items.
Travel arrangements for the Senior Vice President and assistance to his direct reports or corporate visitors if required which includes logistics like ticketing, hotel bookings, arranging for local transport and filing of expense reports.
Supporting and maintaining documentation and filing, with reference to confidential issues.
Conduct research, collect and analyze data to generate high-quality and technical reports and presentation material.
Ownership of Team meetings and All Hands meetings, including scheduling dates/times, room reservations, agenda development, recording, transcribing and distributing minutes of meetings. Responsible for logistics of meetings that may include venue contract negotiation, agenda development, catering, and stewardship to keep within budget.
Draft, organizing and facilitate WES internal communication.
Performs other duties as assigned.
Qualifications:
Bachelor’s degree, diploma or equivalent.
Possess minimum 10 years of administrative experience supporting executives and is professional, self-motivated, highly organized, and independent while operating with strong discipline to support Senior Management and team.
Astute attention to detail and a strong drive to take initiative.
Demonstrated ability to effectively meet deadlines in a fast-paced environment and work well under pressure with a multitude of competing priorities while maintaining a high level of quality.
Manage a demanding workload, and balance self-managed tasks/projects along with management support needs.
Thoroughness and follow-up, strong organizational skills; must be able to set priorities and work independently.
A good team player with the ability to interact effectively with management and employees at all levels. Self-starter with a strong sense of ownership and involvement.
Candidates must have excellent problem and solving skills, strong verbal and written communication skills.
Flexibility in managing occasional workload peaks.
Proficient in Microsoft Applications (Excel, Powerpoint, Word). Knowledge of Sharepoint, Oracle and Successfactor would be an advantage.
