Amazon Advertising, Supply Quality is seeking an enthusiastic, proactive and smart Executive Assistant to support the Director of Supply Quality. Join this fast growing, ambitious and technologically innovative team focused on delivering high quality Advertisements on the Amazon, and in general on the internet across millions of websites, mobile apps and TV apps. The organization is primarily located in Bangalore with small teams in Palo Alto, and includes diverse roles across Software Engineering, Applied and Data Science, Business Intelligence, Security Engineering, Product Management and Business Development. By delivering targeted advertisements to end customers, this team plays an integral role in generating revenue for Amazon.com.
As the Executive Assistant for the Supply Quality Director, you will be instrumental in the success and motivation of this highly energetic team. The successful candidate will demonstrate a proven track record for taking initiative and working independently to deliver results that exceed expectations. This fast-paced team requires someone who looks around corners to plan ahead on behalf of the organization and who serves as a firm and steady anchor to ensure that the team remains focused important goals and initiatives. A sense of humor is a must!
The most successful candidate will be a strong communicator, both verbally and written, possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. You will work closely with other Executive Assistants within the organization. Understanding basic company organization, working relationships, and business partner roles and responsibilities is important as this position will work closely with other assistants across the business and finance team.

Key Responsibilities include:
Management of complex calendar and schedulingTrack and help drive completion of key deliverables and follow up on outstanding itemsManage document repository, wikis and sharepoint sitesOrganize, execute, track action items and assist with managing key events and projects to include: onsite/offsite employee functions, staff meetings, all-hands meetings, performance reviews, operational planning meetings, weekly/monthly/quarterly business reviews and team social eventsMaintaining and tracking expense reimbursements, recruiting/headcount information, organizational charts, email lists, supply ordering and assisting with new hire setupsAct as a liaison for direct reportsWork closely with the leadership team, recruiting and other Executive Assistants to provide support to the organizationManagement of team space, including moves and reconfigurationManage domestic and international travelHave fun at work and help others do the sameExcellent organization, planning, time management and problem-solvingHighly motivated, organized and able to work effectively with minimal supervisionAbility to work in a highly ambiguous environment; flexiblePositive, proactive and able to consistently exercise great judgmentAbility to handle administrative details independently, while keeping team members adequately informedAbility to prioritize and react with appropriate levels of urgency to multiple situations, requests and events that require quick response or turnaroundHigh level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the companyExceptional written and verbal communication skills, and team-oriented philosophy
