As an Executive Assistant at Ancor Research Labs, you will serve as a critical partner to our executives and leadership team. Your role is pivotal in ensuring efficient operations and providing high-level administrative support. The primary responsibilities and tasks of this role are outlined below.
Responsibilities :
Calendar Management :
Ø Manage the calendar, including scheduling and prioritizing meetings, appointments, and travel arrangements.
Ø Ensure the executive is well-prepared for all engagements.
Document Preparation:
Ø Draft, edit, and proofread documents, presentations, and reports.
Ø Prepare and distribute materials for meetings and presentations.
Data Management :
Ø Organize and maintain confidential files and records, ensuring efficient data retrieval.
Expense Management :
Ø Manage expense reports, track receipts, and reconcile credit card statements.
Ø Keep accurate records of expenditures.
Task Prioritization:
Ø Assist in managing the executives to-do list and task prioritization.
Ø Proactively handle routine tasks and delegate when necessary.
Confidentiality :
Ø Maintain the highest level of confidentiality and discretion in handling sensitive information.
Project Support :
Ø Provide support on special projects, research, and tasks as assigned by the executive.
Team Support :
Ø Collaborate with other executive assistants and provide support during peak workloads or absences.
Requirements
Qualifications :
Ø Proven experience as an executive assistant or similar role.
Ø Strong organizational and time management skills.
Ø Excellent verbal and written communication skills.
Ø Proficiency in using office software (e.g., Microsoft Office Suite).
Ø Attention to detail and problem-solving abilities.
Ø Ability to multitask, prioritize tasks, and work under pressure.
Ø Strong interpersonal skills and professionalism.
Ø Knowledge of company policies and industry practices.
