Hybrid Working
Structured hybrid role
At Barclays, we offer a hybrid working experience that blends the positives of working alongside colleagues at our onsite locations, together with working from home. We have a structured approach where colleagues work at an onsite location on fixed, ‘anchor’, days of the week, for a minimum of two days a week or more, as set by the business area (or nearest equivalent if working part-time hours). Please note that as we continue to embed our hybrid working environment, we remain in a test and learn phase, which means that working arrangements may be subject to change on reasonable notice to ensure we meet the needs of our business.
Introduction:
To provide world class administrative support at an executive level. The individual requires strong initiative and sound judgement, with the ability to work independently. Excellent interpersonal skills and a demonstrated ability to collaborate effectively with a broad range of individuals and groups is a must.
What will you be doing?
Document control, maintaining incoming & out going documents.
â–ª Arrange conferences, meetings, and travel reservations for office personnel.
â–ª Compose, type, and distribute meeting notes, routine correspondence, and reports.
â–ª Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
â–ª Locate and attach appropriate files to incoming correspondence requiring replies.
â–ª Mail newsletters, promotional material, and other information.
â–ª Maintain scheduling and event calendars.
â–ª Coordinate conferences and meetings.
â–ª Using a variety of software packages to produce correspondence and documents, and maintain presentations, spreadsheets and databases.
â–ª Ordering and maintaining stationery and equipment supplies
â–ª Coordinate visits by VIPs and stakeholders
â–ª Ensure Organizational charts up to date
Priorities
â–ª Relieve The CXO of administrative detail, all projects
â–ª Coordinate work flow
â–ª Update and chase delegated tasks to ensure progress to deadlines
â–ª Take initiative in manager’s absence
â–ª Keep projects on schedule
â–ª Maintain procedures manual to ensure consistent performance of routines
â–ª Communication
â–ª Compose correspondence/reports for own or manager’s signature
â–ª Arrange essential mail in priority action order for boss
â–ª Check deadlines on incoming requests and put preliminary work in play
â–ª Research, draft or abstract reports
Communication
â–ª Attend to general enquiries
â–ª Arrange “call-backs” to protect boss’s time
â–ª Provide back-up materials for call-backs
Appointments/Meetings
â–ª Maintain calendar; ascertain which events require boss’s presence
â–ª Fix commitments to maximize boss’s time efficiency; Allow decision/desk time when boss chairs meetings:
â–ª Prepare agenda in advance
Arrange meeting facilities
â–ª Prepare action minutes
Confidentiality
â–ª Perform to earn full confidence
â–ª Assure discreet handling of all business
Client Visits
â–ª Screen to control interruptions
â–ª Provide back-up data as needed
â–ª Arrange amenities as needed
