Job Description:
The Senior Administrative Associate will be responsible at section level for managing administrative activities, business planning, and the end-to-end Purchase order to cash process. The Senior Administrative Associate will be responsible for managing relationships with customers, vendors, and internal stakeholders, while ensuring adherence to policies and procedures.
Duties and Responsibilities:
Develop and maintain business plans and budgets to support the organization’s objectives
Ensure adherence to policies and procedures related to PO to cash process, including order management, invoicing, and collections
Contract Creation
Partner Monthly Billing in co-ordination with Departments
At Actual, Travel and HW billing
Receivable Tracking and Cashflow Reporting
Collaborate with cross-functional teams to ensure timely delivery of services
Purchase Request Creation
Shopping cart creation
At Actuals HW items purchase
Laptop and Infrastructure request
Develop and maintain relationships with customers, vendors, and internal stakeholders
Contract Extension / closure , User ID clearance etc for outsourcing associates
Vendor payments tracking
Create reports and analyze data to identify trends, patterns, and insights to inform business decisions
Develop and implement process improvements to increase efficiency and effectiveness of operations
Plainware allocation Tracking
HW asset tracking
Ensure compliance with legal, regulatory, and internal policies and procedures
Provide training and support to staff on administrative and policy-related activities
Perform other duties as assigned by management
Qualifications
Bachelor’s degree in Computer applications, Commerce, or related field
Relevant experience in administrative, business planning, purchasing, Invoicing process
Analytical, problem-solving, and critical-thinking skills
Good communication and interpersonal skills
Proficient in Microsoft Office Suite and enterprise systems such as SAP
Understanding of purchase, asset management, billing and business planning processes.
User level experience in SAP, especially PEI, Purchase related modules
Ability to work independently and in a team environment
Power BI Knowledge is an added advantage
Time Management
