Job Title: Portfolio Management Office Analyst
Purpose of job:
This role is part of a small Portfolio Management Office responsible for the governance, assurance and reporting of the organisation’s investment portfolio. This portfolio is being expanded as part of a “rescue, renew and rebuild” transformation to grow the commercial base and increase operational efficiency and effectiveness.
The portfolio is global and valued at approximately £100m annually. It encompasses programmes and projects spanning all areas of the organisation including SBUs and corporate services. There is an emphasis on business change and successful adoption as well as on excellent financial and technical execution.
The purpose of this role is to provide high-quality PMO resource to carry out items in the Portfolio Management Office’s service catalogue including, but not limited to, programme analysis and assurance, dependencies and risk management, establishing a new reporting tool and ensuring quality monthly programme status reports are received.
Experience areas:
Minimum/essential
Multi-year experience of working in a portfolio or programme management office on business changes that impact multiple functions, business areas and regions.
Demonstrates the ability to organise and prioritise tasks to deliver agreed outputs to the required standards, on-time.
Understands the ‘soft-side’ of programme management and has experience of communicating effectively with stakeholders at all levels.
Proven experience developing relationships with different areas of the business, building collaborative relationships and driving up standards.
Understands the technical and other detail but is also able to translate that into business-friendly language when required.
Understanding and experience of non-financial benefits frameworks and how to apply them in practice.
Knowledge of:
Advanced user of Microsoft Office, particularly Excel.
Competent Microsoft Project user.
Accountabilities, responsibilities and main duties:

This role is a core part of the enhanced Portfolio Management Office team being built to ensure the organisation’s transformation is successful. It focuses on integration, dependencies and risks at portfolio level and also on assurance of individual programmes.
Leadership of the discipline and standards
Participates in the continuous improvement of portfolio and programme management good practice.
Acts as advocate for the Portfolio Management Office, positively promoting the business benefits of professional PMO services to the organisation.
Actively engages with others working in the PMO area in other functions and teams to help share learning, problem solve and build a community of practice that delivers value to The British Council.
Assurance
Contributes to / leads programme and business case assurance reviews on behalf of the Head of PMO.
Identify, monitor and ensure appropriate management of dependencies between elements of the portfolio.
Risk and compliance
Identify, monitor and participate in the resolution or mitigation of risks to components of the portfolio and provide appropriate management information and reporting on portfolio risk. Work with the organisation’s Enterprise Risk team as appropriate.
Analysis and reporting
Run the monthly programme status reporting process, ensuring good quality reports are received punctually from all programmes in the portfolio.
Establish a fit-for-purpose, resilient status reporting tool that will cope with the demands of the expanded portfolio.
Contribute to the authoring and collation of reports for submission to Investment Board, British Council management and the Foreign, Commonwealth and Development Office.
Pro-actively analyse portfolio-related information and provide actionable insight based on PPM experience and information analysis.
