Responsibilities:
Administrative Support: Provide comprehensive administrative support to the sales manager, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Communication: Act as a liaison between the sales manager and other team members, clients, and external stakeholders. Draft and respond to emails and communications on behalf of the sales manager.
Data Management: Maintain and organize sales data, reports, and customer information. Create and update spreadsheets, databases, and CRM systems as needed.
Sales Support: Assist in the preparation of sales presentations, proposals, and contracts. Help track sales leads, follow up on customer inquiries, and provide general support to the sales team.
Event Coordination: Plan and coordinate sales events, conferences, and trade shows. Ensure all logistical details are in order, from booth setup to promotional materials.
Research: Conduct market research and competitor analysis to support sales strategies. Provide insights and reports to the sales manager for informed decision-making.
Expense Management: Handle expense reporting, budget tracking, and reimbursement processes for the sales manager.
Project Management: Assist in managing and tracking sales-related projects and initiatives. Ensure deadlines are met and progress is monitored.
Qualifications:
Organizational Skills: Strong organizational skills are essential to manage the sales manager’s busy schedule, coordinate tasks, and keep everything running smoothly.
Communication Skills: Excellent written and verbal communication skills are crucial for effective correspondence with internal and external stakeholders.
Tech Savvy: Proficiency in office software such as Microsoft Office Suite, Google Workspace, and CRM systems is important for data management and communication.
An executive assistant should be adaptable and able to handle a wide range of tasks and unexpected situations.
Attention to Detail: Accuracy is critical in managing data, coordinating events, and preparing documents.
Sales Knowledge: While not mandatory, having some knowledge of sales processes and terminology can be beneficial in this role.
Discretion: Executive assistants often handle sensitive information, so maintaining confidentiality is essential
