• Vendor & Inventory Management –
• Identification of cost-effective partners vendors/suppliers for procurement, selection & engagement with an aim of reducing cost while improving quality & reliability and maintaining vendor approach for emergency backup
• Vendor registrations, purchase orders and delivery of material as per committed timelines
• Procurement to pay end-to-end policy adherence and tracking
• Support in process improvements and modifications to provide employee satisfaction
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints, control inventory & track usage.
• Office & Housekeeping Management –
• Oversee the day-to-day operations of the office and ensure it runs smoothly & efficiently.
• Oversee facilities services, maintenance activities and tradespersons (e.g electricians & Housekeeping etc.)
• Organize and supervise other office activities (cleanliness, recycling, renovations, event planning etc.)
• Ensuring optimal efficiency, supervise the administrative team by providing guidance, training & support to perform their duties effectively
• Expats Management –
• End-to-end support to Expats & travelers (including ticketing, visa, hotel stay, car rentals, FRRO Related activities etc. )
• Direct activities related to routing and tracking office cars – fuel, maintenance etc.
• Compliances & Budget Management –
• Ensure compliance with all relevant laws, regulations and company policies related to administrative functions
• Submit and reconcile expense and other administrative reports
• Administration & Facility Management –
• Managing real-time space management for seat allocation to ensure a comfortable & productive environment
• Facilitating movement and space utilization
• Cafeteria and office maintenance
• Managing employee directories
• Monitor costs and expenses to assist in budget preparation, MIS preparation
