Overview
Job Overview:
The Shared Facility Administrator primarily supports a group of Facilities as a corporate function. Oversees and manages the administrative and clerical functions of the Facilities operations.
Responsibilities
Support the generation of post-billing documentation back-up packages for customers requiring customer specific invoice details.
Review and Monitor worksheet entry for accuracy and adherence to quote/contract requirements.
Procurement: Manages P-Card reconciliations and compliance.
Ensures payroll reconciliation workbench is tied out prior to Company deadline; Ensures proper documentation of field personnel hours.
Purchase Orders: Creates, manages and receives all facility related purchase orders and change orders. Reviews weekly open PO report and accuracy of month-end PO accrual.
Accounts Payable: Monitors vendor invoices, manages aging reporting, resolves vendor issues including, but not limited to copies of vendor invoices, customer service, vendor payment, Sales Tax filing, etc.
Vouchering: Vouchers field purchase order related vendor invoices.
Voice requirement: Have to be in continuous contact with Branches and onsite
Qualifications

Proficient in Windows based applications.
Strong word processing typing skills.
Strong communication skills.
Able to maintain confidentiality.
Attention to detail.
