1. POSITION VACANT: Executive Assistant – Head CF, Leading CSR Foundation, Mumbai

3. JOB DESCRIPTION/ RESPONSIBILITIES:
The Executive Assistant – Head CF (EA-HCF-CSR) shall be responsible for assisting the Leading CSR Foundation with internal and external stakeholder coordination, travel and accommodation arrangements, cost management, support during events, administrative assistance, and supporting the Leading CSR Foundation team as per requirement.
Key Job Responsibilities:
(A) Secretarial
(1) Calendar Management;
(2) Plan and organize managers schedule;
(3) Set up internal/external meetings;
(4) Prioritize critical meetings and manage/organize calendar schedule with internal/external stakeholders;
(5) Coordinate with stakeholders and follow up for closure and actionable;
(6) Provide support to HODs/teams with meetings as when needed.
(B) Project Management/Correspondence management
(1) Sort correspondence and flag the critical ones;
(2) Work on the critical emails / correspondence and close the loop within given timelines;
(3) Follow up with stakeholders for closures of any tasks/correspondence.
(C) Stakeholder management
(1) Manage virtual meetings for Manager & team;
(2) Manage Key external/internal stakeholder contacts/database;
(3) Manage backend operations for business leaders;
(4) Help department HODs and team with various tasks and provide support as and when required.
(D) Engage
(1) Organize fun activities for team;
(2) Help team with events;
(3) Held schedule Birthday / anniversary mailers for the teams.
(E) Travel Management
(1) Plan travel itinerary;
(2) Coordinate with Travel team for air tickets and accommodate – Domestic & & International travel;
(3) Arrange logistics for travel;
(4) Process Visa for International travel and arrange Forex;
(5) Assist team members & external stakeholder with their travel schedule / logistics.
(F) Administrative Task
(1) Maintain stationary;
(2) Assist new joinee with administration help;
(3) Filing of internal documents;
(4) Coordinate for conference rooms for internal/external meetings;
(5) Printing meeting materials / agenda / minutes;
(6) Manage the courier movement in the office;
(7) Be a part of the organisation’s EA group.
4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:
Qualification
(1) Applicants must have from a bachelor’s degree from a reputed institute or university;
(3) Knowledge of MS Office – MS EXCEL, Office automation software will be preferred.
Relevant Experience:
(1) Minimum five years of experience in managing the office of a business leader.
SKILLS AND COMPETENCIES:
(1) Excellent oral and written communication in English, Hindi and Marathi;
(2) Organizational and planning skills;
(3) Information gathering and monitoring skills;
(4) Exceptional IT skills.
