Job Description:The Front Office and Admin Executive will be responsible for managing day-to-day administrative tasks, office management, and providing support to various departments within the organization. The ideal candidate should possess strong organizational and communication skills, ability to multitask and prioritize work, attention to detail, and the ability to work independently as well as part of a team.ESSENTIAL FUNCTIONS OF THE JOB/KEY RESPONSIBILITIES:Reception duties: Greeting and welcoming visitors, clients, and guests, and directing them to the appropriate personnel or department. Answering phone calls, taking messages, and handling inquiries in a professional and courteous manner.Administrative support: Providing administrative assistance to various departments within the organization. This may involve managing correspondence, scheduling appointments, maintaining files and records, preparing documents, and organizing meetings and events.Office management: Overseeing the smooth functioning of the office by managing office supplies, equipment, and facilities. Coordinating with vendors and service providers for maintenance and repairs. Keeping track of inventory and ordering supplies when needed.Database and record management: Maintaining and updating databases, records, and files, ensuring accuracy and confidentiality. Managing and organizing documents, reports, and other paperwork.Customer service: Providing excellent customer service to clients, visitors, and employees. Addressing their queries, concerns, and requests promptly and professionally.Financial tasks: Assisting with basic financial tasks such as preparing invoices, maintaining billing records, and processing expense reports. Collaborating with the finance department to ensure accuracy and compliance.Documentation and reporting: Compiling and preparing reports, presentations, and data analysis as needed. Generating and maintaining various office-related documents, spreadsheets, and databases.Ad hoc responsibilities: Handling ad hoc administrative tasks and special projects as assigned by management.
